Buckeye Partners is currently seeking a Customer and Terminal Data Coordinator with strong organizational and customer service skills and a general knowledge in the oil and gas industry and to join our growing team! Role Summary: The Customer and Terminal Data Coordinator (CTD) is responsible for setting up and maintaining all customer and product data in the Terminal Management System (TMS). This ensures our terminal customers can efficiently move their products, load trucks properly, account for their inventory, and have visibility and control over their transactional data. This role is crucial for quickly and effectively setting up newly contracted business at Buckeye’s Terminals. The CTD interfaces with customers, carriers, commercial, operations, terminal scheduling, legal, and customer insurance agents.

Requirements

  • High School Diploma or equivalent required.
  • Working knowledge of Microsoft Office, especially Outlook and Excel.
  • 24/7 on-call.
  • Excellent interpersonal skills and ability to work in a team-based environment.
  • Since this position includes contact with customers and field managers, excellent customer relations skills are required in order to be successful in this position.
  • This position requires someone who can work well under pressure and can handle multiple tasks at once.
  • Strong organizational and customer service skills.
  • Proficiency in database management and software support.
  • Ability to work collaboratively with internal and external stakeholders.
  • Excellent problem-solving and communication skills.

Nice To Haves

  • Bachelor’s Degree is a plus.
  • General knowledge of the petroleum industry will be helpful to this role.

Responsibilities

  • Maintain all databases in the central terminal management system (TMS), including stockholder, customer, account, consignee, carrier, and carrier cross-references.
  • Handle day-to-day requests for supplier, customer, and carrier additions.
  • Complete daily customer requests, set up new customers and suppliers at all terminals in TMS, perform stockholder requests, including lockout and re-open requests.
  • Troubleshoot and resolve immediate loading issues, including preliminary research and validation of data setup.
  • Catalog issues and operational configurations in CTD reference materials.
  • Provide exceptional customer service through the development of professional relationships with internal and external customers, including assisting, as necessary, with resolving customer truck loading problems or account needs.  24/7 on-call.
  • Resolve customer questions, issues, and requests in a timely and satisfactory manner.
  • Work with terminal operations for assistance with unique carrier issues.
  • Act as the first-level Buckeye guide for customers navigating account set up and management.
  • Understand and interpret business rules of engagement appropriately.
  • Manage relationships using correct communication methods and tone.
  • Work with stockholders and terminal operators to investigate Bill of Lading changes as requested by stockholders.
  • Involve additional SMEs as appropriate for inventory or billing before making changes.
  • Address truck racking loading issues related to Buckeye allocation.
  • Work with Terminal Scheduling to discuss any restrictions or settings.
  • Act as a field operations liaison for carrier mergers, working with carriers, terminal operations, legal, and terminal operators to update the TMS.
  • Update annual insurance renewals within the TMS for carriers and organize them digitally.  Obtain updated carrier certificates of liability insurance to ensure loading outages do not occur.
  • Create, distribute, organize digitally, and retrieve Terminal Access Agreements (TAAs) for carriers and add carriers into the TMS.
  • Create carrier user accounts, digitize documents, and maintain the Buckeye Carrier Portal.
  • Assist with special TMS projects, including upgrades/integration on new versions of software, changes in customer reporting, company policy and procedure updates, and company changes (acquisitions, customer mergers, and new product offerings).
  • Manage customer account systematic modifications and mass data loads using standard spreadsheets.
  • Create test data to ensure all information and reporting is populated accurately.
  • Participate in data clean-up and standardization projects for data.
  • Assist with mergers and acquisitions of terminals, including data collection, configuration, and validation.
  • Support hardware and software upgrades through testing, validation, and implementation.
  • Be aware of current products offered by suppliers and assist with new business concepts.
  • Participate in transition support for new terminal/asset integration.
