About The Position

The Customer Service Specialist 3 position at South Puget Sound Community College (SPSCC) is a part-time role within the Outreach, Recruitment, and Assessment department. This position primarily supports the Assessment/Testing Center by maintaining office cleanliness, assisting students with placement testing, and ensuring smooth operations of the testing environment. Extensive training is provided, making it accessible for candidates without prior experience in proctoring exams.

Requirements

  • High school graduation or equivalent AND two years of applicable clerical experience OR equivalent education/experience.
  • Strong computer skills related to email management and data entry.
  • Strong organizational skills.

  • High degree of accuracy and attention to detail.

Nice To Haves

  • Experience with a Student Management System (SMS) and/or PeopleSoft.
  • Experience as a customer service representative.
  • Experience proctoring exams or tests.
  • Advanced knowledge of MS Office Suite: Word, Outlook, and Excel.

Responsibilities

  • Maintain testing rooms and Assessment staff areas, including restocking materials and cleaning.
  • Perform daily operations such as printing forms, processing placement requests, and data entry.
  • Assist in placement review and data entry for placement requests.
  • Resolve problems and respond to inquiries about Enrollment Services, Advising, Registration, and Assessment.
  • Scan and e-mail exams to instructors.
  • Check voicemail daily and manage communication effectively.
  • Utilize software to create and manage documents and track messages.
  • Interpret scores for College Placement Tests and explain placement to students and staff.
  • Provide positive customer service using active listening and communication skills.
  • Inform and advise students and staff about college policies and activities related to placement and assessment.
  • Ensure confidentiality of customer information following FERPA guidelines.
  • Serve as a test proctor for various tests and platforms.
  • Schedule and administer accommodated/make-up testing for students.
  • Stay updated on federal and state regulations for administering assessments.
  • Set schedules for testing and communicate with faculty.
