About The Position

We are seeking a detailed orientated and customer- focused Customer Service Rep/Outside Sales Support to join our team. The CSR will support the Outside Sales Representatives and is responsible for order entry and primary day-to-day customer communication. They are also responsible for accurately and promptly entering orders so our production team can create a quality product matching the customers specifications. This role requires excellent communication, strong organizational skills, and a good understanding of manufacturing workflows.

Requirements

High school diploma or equivalent required, associate or bachelors degree preferred.
Ability to work in an open office environment.
Ability to work in a fast-paced environment with shifting priorities / adaptable/ ability to work under pressure
ERP system experience preferred â willing to be certified.
Attention to detail and well organized
Decision making capability and able to work independently with minimal supervision after training.
Able to multitask and work on multiple projects
Problem solving and analytical skills
Ability to respond to common inquires or complaints from customers
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exits.
Experience with Microsoft Office Suite particularly Outlook & Excel

Nice To Haves

Familiarity with printing process, materials, or label production a plus.

Responsibilities

Works directly and supports assigned Outside Sales Representative
Audits orders received for price, quantity and delivery
Respond to customer inquires via phone, email, and online portals in a professional and timely manner.
Enter and manage customer orders using ERP order management systems
Coordinates and assists Graphic Design department with customer artwork and artwork proofing.
High attention to detail- able to easily catch spelling and pricing difference.
Checks and maintains customer inventory in the database as well as in the warehouse.
Provide accurate pricing, lead times, and product information.
Coordinate with production, shipping, and sale teams to ensure customer specifications and delivery deadlines are met.
Handle changes, cancellations, and adjustments to orders efficiently.
Proactively communicate with customers about order status, delays, or issues.
Resolve complaints or concerns with a focus on customer satisfaction and retention.
Proactively assist finance team regarding collections on past dues, COD and other special payment terms.
