About The Position

Under the direct supervision of the Utility Billing Supervisor, this position will perform complex and technical tasks associated with setting up, monitoring and/or correcting varied customer accounts, and will participate in detailed tasks associated with collection and billing customer accounts. The Senior Customer Service Representative under the direction of the Supervisor - Utility Billing, performs a wide variety of collaborative customer service tasks; provides intricate staff assistance to management. Assist in coordinating assigned activities with other divisions, departments, and outside agencies.

Requirements

  • Knowledge of alphabetical filing systems.
  • Knowledge of routine office procedures.
  • Ability to communicate effectively in a courteous and professional manner.
  • Ability to follow simple oral and written instructions.
  • Ability to type at a corrected rate of 20 words per minute.
  • Ability to work with various software applications.
  • Ability to adapt to different procedures of operation as technology changes.
  • Ability to operate other office equipment including a copying machine, an adding machine, calculator, postage machine, etc.
  • Knowledge of Word and Excel software
  • High school diploma or equivalent required.
  • Two years of customer service experience
  • Experience with cash handling
  • Knowledge of alphabetical filing systems.
  • Knowledge of routine office procedures.
  • Working knowledge of business English and spelling.
  • Ability to follow simple oral and written instructions.
  • Ability to type at a corrected rate of 20 words per minute.
  • Ability to work with various software applications.
  • Ability to adapt to different procedures of operation as technology changes.
  • Ability to operate other office equipment including copying machine, adding machine, calculator, postage machine, etc.
  • Knowledge in operation of PC.
  • Basic knowledge of Word and Excel software
  • Basic accounting and auditing principles and practices.
  • Ability to communicate with public in a courteous and professional manner.
  • High school diploma or equivalent required
  • Five years of clerical office experience
  • Utility Billing experience required
  • Cash handling experience required

Responsibilities

  • Responds to complex customer questions and resolves concerns.
  • Process new customer applications, transfers, and termination of services per customer requests
  • Create new account numbers using GIS software.
  • Receive payments and issue receipts for utility bills and miscellaneous items as needed.
  • Prepares, processes and reconciles various account and financial documents and reports including daily cash balancing.
  • Enter and process various work orders.
  • Process billing reports according to procedures to ensure accurate and timely billing
  • Review meter readings and issue necessary work orders
  • Calculates billing components and various adjustments.
  • Establish and track payment agreements; initiates work orders to terminate and reconnect services.
  • Perform all collection activities for delinquent accounts including, but not limited to, processing the weekly cut off list.
  • Back up for various other duties in the department.
  • Perform other duties as required.
  • Resolve complex customer issues.
  • Review monthly audit reports to verify that service rate codes are correct and ensure billing accuracy.
  • Enter and process various work orders.
  • Create journal entries and perform daily reconciliations.
  • Process weekly automatic draft bill payments.
  • Maintain records management for the department.
  • Implement and oversee training for new customer service representatives.
  • Assume temporary supervisory capacity in the supervisor’s absence.
  • Back up for various duties in the department.
  • Perform all other duties as required.
