Requirements

  • 2+ years of administrative or office experience
  • Strong customer service skills with a positive, professional demeanor
  • Excellent communication skills (written and verbal)
  • High attention to detail and strong organizational skills
  • Self-motivated with the ability to prioritize and manage multiple tasks
  • Comfortable learning new systems and software

Nice To Haves

  • Experience with QuickBooks (we’re happy to train!)
  • Familiarity with Xactimate or similar industry software

Responsibilities

  • Answer incoming calls and warmly greet customers and visitors
  • Enter new job leads and referrals (FNOL) accurately and efficiently
  • Deliver exceptional customer service with empathy and professionalism
  • Perform detailed data entry and maintain accurate records
  • Create and manage digital job files
  • Monitor job progress and ensure documentation is complete
  • Review and validate initial field documentation
  • Track subcontractors and job-related services
  • Support accounting and other departments as needed
  • Keep the office organized and running efficiently
