About The Position

We are seeking a Customer Service Associate to join our Caldwell office team. In this role, you will be the first point of contact for our clients, managing incoming calls, emails, and messages, scheduling jobs, dispatching technicians, and supporting our operations team with billing and administrative tasks. This is a fast-paced position that requires strong communication skills, attention to detail, and the ability to multitask effectively. Fluent Spanish-speaking candidates are highly preferred and will be eligible for increased pay.

Requirements

  • Minimum 2 years customer service experience (dispatch, call center, or scheduling preferred)
  • Strong written and verbal communication skills
  • Spanish-speaking preferred (eligible for increased pay)
  • Experience with booking, scheduling, or dispatching strongly preferred
  • Proficiency in Microsoft Teams, Outlook, and Office Suite
  • Experience with Housecall Pro (HCP) or similar software a plus
  • Dependable transportation and a smartphone capable of running required apps

Responsibilities

  • Respond promptly to client calls, emails, and voicemails
  • Address pricing, service, and scheduling questions
  • Send confirmations, reminders, and follow-up messages
  • Provide updates on job status and communicate changes
  • Schedule jobs in Housecall Pro (HCP)
  • Manage technician calendars and dispatch jobs
  • Handle last-minute schedule changes or call-outs
  • Communicate special job instructions (alarms, access codes, etc.)
  • Schedule estimate appointments and follow up on pending quotes
  • Convert approved estimates into active jobs
  • Ensure documentation standards in HCP are met
  • Create and send invoices through HCP
  • Process payments and resolve billing issues
  • Follow payment collection procedures
  • Maintain accurate client records in HCP
  • Merge duplicate profiles and onboard new clients
  • Support technicians via phone or Microsoft Teams
  • Use SOPs, scripts, and reference sheets for consistency
