About The Position

The Customer Experience Representative position at ABF Healthcare Services, Inc. is integral to ensuring a welcoming and efficient experience for all patients and partners visiting our medical clinic. This role requires a professional, friendly individual who excels in customer service and maintains the highest standards of cleanliness and organization in the front office area. The ideal candidate will be responsible for greeting all visitors, managing the flow of traffic in and out of the clinic, and ensuring all necessary documentation is accurately collected, scanned, and filed in the system. This position is essential in upholding the clinic’s commitment to patient care and satisfaction.

Requirements

  • Education: High school diploma or equivalent required.
  • Experience: Previous experience in a customer service or front desk role, preferably in a healthcare setting.
  • Skills: - Excellent communication and interpersonal skills. - Strong attention to detail and organizational skills. - Ability to work independently and as part of a team. - Proficiency in using office equipment such as scanners, computers, and phone systems.

Nice To Haves

  • Familiarity with electronic health records (EHR) systems is a plus.

Responsibilities

  • Greeting and Welcoming Visitors: - Warmly greet all patients, partners, and visitors as they enter the clinic. - Provide a positive first impression by maintaining a professional and friendly demeanor. - Offer assistance to visitors, ensuring they feel comfortable and are directed to the appropriate area or person.
  • Document Management: - Collect necessary documents from patients upon check-in, including identification, insurance cards, and any other required paperwork. - Accurately scan and upload documents into the clinic's electronic health record (EHR) system. - Ensure all documents are filed in the correct location within the system for easy retrieval by medical and administrative staff.
  • Maintaining Cleanliness and Organization: - Keep the front desk and waiting area clean, neat, and organized at all times. - Regularly sanitize high-touch surfaces in the front area to maintain a safe and hygienic environment. - Ensure that magazines, pamphlets, and other materials in the waiting area are neatly arranged and up-to-date.
  • Traffic Flow Management: - Manage the flow of patients and visitors in and out of the clinic, ensuring a smooth and orderly process. - Assist in guiding patients to the appropriate waiting area, exam room, or specialist as needed. - Coordinate with other staff members to minimize wait times and ensure timely service.
  • Additional Duties: - Provide basic information to visitors as needed, such as directions within the clinic or information about services offered. - Monitor the front area to ensure it is stocked with necessary supplies (e.g., hand sanitizer, masks). - Assist with other administrative tasks as needed, such as scheduling follow-up appointments or answering basic inquiries.
