Our Customer Accounts Specialist plays a critical role in ensuring projects are successfully finalized and outstanding balances are collected while maintaining a high level of customer satisfaction. As a Customer Accounts Specialist , you'll serve as a key point of contact for homeowners during the final phase of their project. This role requires proactive communication, collaboration with internal departments, and strong attention to detail to ensure billing accuracy and timely collections. Requirements

• Experience: 2-3 years of customer service experience required; AR collections experience preferred.
• Communication: Strong written and verbal communication skills.
• Organization: High attention to detail, follow-through, and time management.
• Independence: Proven ability to work independently and take initiative.
• Problem Solving: Ability to assess issues quickly and propose effective solutions.
• Customer Focused: A clear understanding of the customer journey and the importance of experience at every stage.
• Technical Skills and Physical Requirements Software Proficiency: Skilled in Microsoft Office Suite and various texting/chat communication platforms.
• CRM Experience: Hands-on experience with Salesforce and the use of Salesforce Reports for tracking and communication.
• Telephony Systems: Familiarity with VoIP systems such as Five9 for efficient call handling.
• AR Best Practices: Understanding of accounts receivable processes and collection strategies.
• Quick Learner: Ability to rapidly absorb and apply knowledge of product offerings and company policies.
• Work Environment: This is a full-time, in-office role based in Portland, OR. Ability to sit or stand for extended periods and perform repetitive hand tasks.

Nice To Haves

• Preferred Experience: Construction background, AR collections experience, QuickBooks or other accounting software experience, and CRM experience (Salesforce preferred).

Responsibilities

• Project Closeout: Proactively communicate with homeowners to finalize projects and move jobs to completion with excellent verbal and written communication .
• Inbound & Outbound Communication: Take inbound calls and respond to emails in a timely, professional manner; make outbound calls to collect outstanding balances.
• Billing Accuracy: Partner with Accounting to confirm billing accuracy and resolve discrepancies.
• Collections: Contact customers regarding outstanding balances and follow AR best practices to secure payment.
• Issue Resolution: Research and follow through on complex customer inquiries related to billing and job completion; escalate concerns as needed.
• Internal Coordination: Collaborate with departments across the organization to ensure accurate and timely communication on customer needs.
• Problem Solving: Support homeowners with logistical changes, reschedules, and service-related questions.
• Documentation: Maintain detailed records in Salesforce and other internal platforms.
• Team Support: Contribute to a positive team environment through excellent communication and reliability.
