The Blanton's Curatorial Administrative Assistant is a key member of the curatorial department, working closely with a dynamic team of six curators. The position is required to ensure the Curatorial department runs efficiently by managing essential logistics, documentation, and communication, enabling curators and other team members to focus on high-value strategic work while reducing operational risks and improving coordination across the organization. This position will report to the Chief Curator and Deputy Director of Collections.

Requirements

  • High School Diploma or GED
  • Strong administrative skills and experience
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, etc.)
  • Ability to multi-task and work in a fast-paced office environment
  • Excellent organizational skills
  • Outstanding written and oral communication skills
  • Strong work ethic
  • Creative problem-finding and solving abilities
  • Proficiency in Spanish language
  • Strong technology skills
  • Equivalent combination of relevant education and experience may be substituted as appropriate.

Nice To Haves

  • Bachelor’s Degree
  • Degree in Art History
  • Three or more years of experience in a fast-paced office environment
  • Bilingual in Spanish

Responsibilities

  • Assist with curatorial budget preparation and oversight.
  • Assist with general research related to collections and acquisitions, including data entry and record maintenance in TMS collection management database.
  • Facilitate communication with Blanton staff and collaborators.
  • Help manage calendars and schedule meetings (in person and virtual) across departments.
  • Draft agendas and create PowerPoint presentations.
  • Process University required paperwork related to travel and purchasing for department, outside vendors, artists, and speakers.
  • Work with curators on assigned exhibitions and projects: Help develop checklists.
  • Assist with art historical research, writing, and copy editing for labels and other interpretive materials.
  • Keep track of production schedules and deadlines.
  • Obtain written documentation for copyright and captions of images for publications, press, and interpretive materials.
  • Other duties and projects as assigned.
