About The Position

The Senior Program Support Specialist provides administrative support to Vice President and Program Director, including meeting minutes, data tracking, administrative reports and grants writing. In addition, it will provide leadership, oversight, and supervision to CSS Program Support Specialists and plays a critical role in ensuring the effective operation of CSS services. This position is responsible for managing authorization and billing-related functions, coordinating daily operational support, serving as a liaison with billing and administrative offices, and supporting compliance, safety, and asset management across CSS programs.

Requirements

  • Associate’s degree required, Bachelors preferred.
  • 2 years of business administration support, supervisory experience preferred
  • Valid driver’s license required
  • No more than one moving violation within the past 12 months
  • Vehicle required
  • All employees are encouraged to participate on an agency committee, on a rotating basis.
  • Mandatory trainings are to be completed during regularly scheduled working hours. It is the employee’s responsibility to attend mandatory trainings when they are offered by the agency and to complete mandatory web-based training in a timely manner. Employees failing to attend mandatory trainings are required to make up the training on their own time and at their own expense, i.e., CPR training.

Responsibilities

  • Promote a culture of compliance with internal policies, external regulations, applicable laws, and high ethical standards.
  • Provide comprehensive administrative support to Program Directors and the Vice President of Supportive Housing, including preparing meeting minutes, tracking data, and generating reports.
  • Assist with grant development by supporting drafting, editing, and processing of grant applications and related documentation.
  • Develop and maintain Excel-based tracking tools to support data monitoring and the preparation of monthly and quarterly reports.
  • Analyze quarterly reports to ensure accuracy, identify trends, and support informed decision-making.
  • Track and manage service authorizations to ensure behavioral health services are properly approved prior to service delivery.
  • Work with program support specialists to monitor authorization start and end dates and proactively notify clinical, program, and billing staff of upcoming renewals or expirations.
  • Ensure data is timely entered, maintain, and audit authorization data in Bridgeway’s electronic health record systems to ensure accuracy and compliance.
  • Primary Liaison with billing, utilization review, and program teams to resolve authorization discrepancies.
  • Run weekly reports and communicate outstanding issues to Team Leaders and relevant agency staff, frontline and senior management.
  • Complete oversight of the DMHAS Housing vouchers to ensure program support specialist is reporting updates with admissions, terminations, hospitalizations and incarcerations.
  • Provide training for any new program support specialists\staff with housing vouchers responsibilities
  • Coordinate with program support specialists to ensure BEDS system is updated monthly as needed
  • Ensure all required Health and Safety drills are completed on time and uploaded to SharePoint in accordance with agency requirements.
  • Monitor CSS properties for compliance with safety and regulatory standards and coordinate with landlords or vendors to address maintenance needs.
  • Primary Liaison with Assets manager for continuity of care with fleet and asset management.
  • Work with program support specialists to ensure accurate and up-to-date records for identified Bridgeway vehicles, including inspections, maintenance, and compliance documentation.
  • Coordinate vehicle assignments with program staff and supervisors, for efficient mileage tracking, and fuel usage.
  • In conjunction with Asset Manager, monitor maintenance schedules and inspections with approved vendors and track vehicle-related incidents and expenses.
  • Support compliance with Bridgeway policies and insurance requirements related to vehicle use.
