About The Position

The Community Support Program Resource Specialist provides agency-wide administrative services and assistance and offers information and referral of services to individuals and families served by the Department of Human Services (DHS) and to the public. This position provides administrative support for DHS professional staff and the Community Support Program (CSP).

Requirements

  • Associate degree in a human service, business administration, communication, or related field with three (3) years of progressively responsible administrative support experience.
  • OR High school diploma or its equivalent with six (6) years of progressively responsible administrative support experience.
  • Two (2) years of experience providing customer service to a variety of people including individuals and families in crisis.
  • Demonstrated training or experience in standard office practices and procedures.
  • Demonstrated training or experience in computer use with Microsoft Office software.
  • Appointment will be conditional upon successful completion of a credit check, criminal and caregivers background check.
  • Must have valid driver's license, an acceptable driving record, and access to private transportation for work-related duties.
  • Must possess and maintain personal automobile insurance in the amount of $100,000/$300,000.

Nice To Haves

Responsibilities

  • Serves as member of a multi-disciplinary case management unit serving individuals with a diagnosed serious and persistent mental illness (SPMI) and may have a co-occurring disorder including substance abuse, cognitive impairment, traumatic brain injury or physical impairment.
  • Adheres to the confidentiality standards of the Health Insurance Portability and Accountability Act of 1996 (HIPAA).
  • Provides excellent communication and organizational qualities to service clients in-person and by phone for a multitude of purposes; schedules appointments; records messages; assists clients if finding resources; directs clients to appropriate persons; performs front desk duties for the clinic/CSP.
  • Demonstrates proficiency in Microsoft programs; schedules staff meetings; records meeting minutes; collects and organizes data related to program requirements; performs other projects as assigned.
  • Employs basic financial knowledge to manage the CSP Purchase Card; sends monthly usage report to Fiscal unit.
  • Provides information and assistance to DHS customers using a trauma-informed model of service, complicit with rigorous privacy protocols; assesses needs, acquires necessary information, refers to DHS staff and other service providers, and follows up as needed; assists with gathering necessary documentation for initial and ongoing participation in the CSP Program; documents customer contacts and other program information in DHS databases.
  • Utilizes a variety of standard and specialized software and online programs; creates digital and paper materials such as website and fliers/forms used in the CSP program; operates and maintains the CSP SharePoint Provider Directory.
  • Provides clerical support for the CSP Program and ad hoc committees; prepares agenda items and supporting documentation and equipment; compiles agenda packets to ensure all necessary information is present and in proper format and distributes accordingly; attends meetings and records and transcribes minutes; follows through on committee directives and information requests; provides public with necessary meeting notices; maintains records and retrieves information as requested.
  • Employs team collaboration and contribution expertise; collaborates with Electronic Health Records (EHR) unit staff; serves as lead super-user of DHS's EHR System; assists in training new and existing staff on the use of the EHR and SharePoint.
  • Adheres to strict documentation, record-keeping, and reporting guidelines and laws to maintain DHS resource information; documents and updates information regarding the CSP program; enters, maintains, scans, and updates documents into computer database systems in accordance with established procedures; verifies accuracy of data; retrieves data; processes records information requests in compliance with HIPAA laws.
  • Manages time effectively and prioritizes tasks to support staff projects and schedules; provides special project management using critical thinking; coordinates staff and resources to achieve project objectives with a high level of accuracy and little supervision.
  • Develops professional knowledge and skills by attending training as assigned by CSP supervisor; demonstrates self-leadership by researching opportunities for personal growth and development; accepts feedback; demonstrates ability to learn and apply.
  • Performs other related duties as required or assigned.
