About The Position

The Cryopreservation Administrative Associate at Shady Grove Fertility is responsible for managing the administrative tasks related to cryopreservation, including the storage management system, billing, and patient inquiries. Requirements

  • High school diploma or GED required.
  • Minimum 2 years of experience in healthcare preferred.
  • Experience in billing and collections, particularly in fertility, preferred.
  • Proficiency in computer skills and medical software programs required.
  • Excellent spreadsheet skills and ability to manage data effectively.
  • Strong verbal and written communication skills.
  • Ability to work as part of a multi-disciplinary team and build effective relationships.
  • Excellent customer service orientation and responsiveness.
  • Ability to maintain confidentiality and demonstrate good judgment.
  • Flexibility and willingness to learn and adapt.

Responsibilities

  • Manage daily administrative tasks for the Cryopreservation storage management system.
  • Process activations and closures for cryopreservation storage.
  • Handle collections, insurance billing, and consent document management.
  • Collaborate with customer service to resolve patient inquiries.
  • Ensure daily or monthly billing for storage of embryos, eggs, and sperm is processed.
  • Close zero inventory accounts in the system daily.
  • Collect payments and return disposition forms to close accounts.
  • Resolve disputes and prepare accounts for collection attorney.
  • Monitor US mail and DocuSign portal for disposition forms.
  • Apply credits and adjustments as necessary.
  • Coordinate with Charge Posting to bill storage to the Practice Management System.
  • Maintain excellent customer service and respond to internal inquiries promptly.
  • Prepare monthly batch reports and maintain delinquent accounts spreadsheet.
  • Manage storage accounts receivable and keep accounts over 120 days within goal.
  • Handle all aspects of the DocuSign process and maintain the portal.
