About The Position

This position is needed to provide administrative support to functions within the Medical Staff Services Office (not a clinical setting). Ideal candidates will have previous experience supporting medical staff meetings and credentialing exposure This position is an entry-level position. General Description: Responsible for performing day to day administrative duties and functions in the Medical Staff office and support others in their roles. Provides administrative support for a variety of tasks including but not limited to, office phones & mail, ordering supplies, ongoing monitoring and tracking of expiring documentd management, general oversight of the credentialing email inbox, call schedules. Deals with a diverse group of customers, patients, and visitors as well as internal interactions with leaders and key stake holders at all levels, including Senior leadership of hospital and medical staff.

Requirements

  • High school diploma or GED required.
  • 0 - 3 years’ experience in an administrative support role.
  • Strong customer service skills
  • Excellent verbal and written communication skills.
  • Proficient knowledge of Microsoft Word, Excel, and Outlook
  • Excellent computer skills.
  • Resourceful in problem solving, initiative and good judgment
  • Comfort working in a fast-paced environment, adapting quickly to new priorities
  • Ability to maintain confidentiality

Nice To Haves

  • Previous experience in a healthcare setting preferred.

Responsibilities

  • Coordinate the administrative aspects of Medical Staff Services including preparation and scheduling of meetings, updating policies, communications, and standard correspondence, ordering of supplies.
  • Serve as the office’s go-to customer service resource, often acting as the first point of contact for visitors and guests.
  • Performs computer data entry and scans applicable credentialing/verification documents into the credentialing database.
  • Assists with collection of expiring documents (i.e. life support certification, board certification, malpractice insurance) for the applicable practitioners.
  • Contact person for various sources of documentation, distribution point for all internal and external communications, first point of contact in the department and triages calls.
  • Oversees the department’s general email and fax inboxes and delegates emails/faxes to the appropriate colleague.
  • Assists Graduate Medical Education with the tracking of rotating residents and students in the credentialing database.
  • Oversees non-staff referring providers in the credentialing database and ensures ongoing monitoring as it pertains to licensure and sanctions.
  • Performs other duties as assigned.
