Job Description The Counsel Support Associate provides administrative support to Client Legal Services Attorneys within an insurance defense environment. Working under general attorney supervision, this role supports the day-to-day management of civil litigation matters by entering and maintaining case information and handling internal and external communications. This position is well suited for individuals with foundational administrative or legal exposure who are adaptable, eager to learn, and thrive in a collaborative team setting.

Requirements

  • Legal administrative support experience in a civil law setting is beneficial.
  • Exposure to a legal office environment is helpful.
  • Candidates with transferable skills and a strong interest in legal administrative work are encouraged to apply.
  • Exceptionally organized and task-oriented, with strong attention to detail.
  • Strong communication and interpersonal skills, both written and verbal.
  • Comfortable handling sensitive and confidential information.
  • Proficient in Microsoft Office and open to learning new legal systems.
  • Demonstrates adaptability, curiosity, and a willingness to ask questions and seek guidance.

Responsibilities

  • Legal Document & Data Management: Enter, maintain, and update pleadings, motions, trial documents, arbitration and mediation correspondence within the case management system (Team Connect). Ability to recognize basic legal pleadings and identify time-sensitive or high-priority matters is helpful.
  • Client, Court & Attorney Support: Handle calls, inquiries, and correspondence from internal and external clients, courts, claim representatives, and opposing counsel in an accurate and timely manner.
  • Administrative Duties: Perform mail handling, scanning, filing, and routing of documents (both physical and electronic), supporting both in-office and remote workflows, and ensuring information is properly documented and accessible.
  • Compliance & Accuracy: Monitor and maintain data accuracy and compliance within Team Connect and other legal systems.
  • Problem Solving & Judgment: Make basic decisions within established procedures, escalate issues as appropriate, and demonstrate a willingness to ask questions, seek guidance, and learn from feedback.
  • Team Collaboration: Work effectively within a large, collaborative legal team and contribute positively to shared goals. May assist with training others on immediate work group functions.
