About The Position

This is specialized clerical work in the Records department at the entry level for the Department of Corrections. A position in this class assists in the maintenance of inmate records where inmates' criminal history and identification dossiers are centrally filed. Duties of limited complexity are performed independently, but close supervision is exercised over more difficult assignments by a supervisor. Work is reviewed for conformity with established policies and procedures through reports and inspection of results. This position reports to the Records Supervisor and/or the Assistant Director.

Requirements

  • Knowledge of modern office practices, procedures and equipment.
  • Knowledge of Business English, filing and arithmetic.
  • Knowledge of basic security procedures including the searching of inmates.
  • Some knowledge of custodial principles involved in correctional work.
  • Some knowledge of County and institutional policies, rules and regulations.
  • Ability to understand and follow oral and written instructions.
  • Ability to prepare clear and concise written reports.
  • Ability to compile and review records to determine completeness, accuracy and appropriateness of information.
  • Ability to establish and maintain effective working relationships with other employees, inmates and supervisors.
  • Ability to communicate effectively orally and in writing.
  • Education equivalent to completion of high school diploma with two years clerical experience.
  • Satisfactory completion of college level courses in business administration, criminal justice or liberal arts may be substituted for the non-specialized clerical experience on a year-to-year basis.
  • Any equivalent combination of acceptable training and experience which has provided the knowledge, skills and abilities cited above.

Responsibilities

  • Assembles all pertinent documentation from Admissions and Discharge, Central Booking, Clerk of Courts, Sheriff's department, Probation and Parole, Domestic Relations, Magistrates and any other local, county, state or federal authority.
  • Upon inmate incarceration, enters the inmates' legal commitments, detainers and sentences into computer system.
  • Reviews paperwork received to determine if there are changes or additions that need to be made to inmates' current file.
  • Reviews discharge paperwork to determine if and when an inmate is to be released and to where they are being released.
  • Participates in computation of data involving dates of inmates' sentence status to ensure timely presentation for parole consideration, discharge at the expiration of maximum sentence or release by the courts.
  • Provides routine information upon petition from inmates, public and law enforcement agencies regarding sentence status, detainers, discharge and non-confidential information.
  • Assists in compilation of inmates' criminal history and identification records.
