About The Position

The Correctional Records Officer is responsible for managing offender records and auditing operations within the Department of Corrections. This role ensures that all offenders are confined according to the orders of the sentencing court and Oklahoma State Statutes. The officer maintains a consolidated record card, legal file, and computer record system for offenders, which includes time served, sequence of sentences, credits earned, jail time, warrants, and other related information. The position involves reviewing legal mail, processing offender transfers, and monitoring daily inmate counts. Additionally, the officer prepares extradition paperwork, testifies in court, and supervises clerical support staff in maintaining offender files. The role also includes performing audits of offender time credits and providing records management training to departmental personnel.

Requirements

  • Bachelor’s degree.
  • One year of professional or technical administrative experience in business or public administration, correctional records management, or social casework.
  • Knowledge of policies, procedures, and laws governing court-ordered sentences.
  • Ability to gather and organize information from documented sources.
  • Ability to conduct multiple tasks simultaneously and communicate effectively.

Responsibilities

  • Monitors discharges and rebills of sentences, auditing offender files for accuracy.

  • Prepares extradition paperwork and testifies in court regarding records.
  • Supervises clerical support staff in maintaining offender field files and misconduct hearings.
  • Performs audits of offender time credits and ensures proper documentation in files.
  • Provides records management training to departmental and private prison personnel.
