About The Position

The Administrative Assistant for Medical Services provides comprehensive administrative and operational support to the Health Services Administrator while coordinating inmate medical services and Medicaid-related activities. This position serves as a key liaison among inmates, healthcare providers, correctional staff, and external agencies to ensure efficient delivery of healthcare services and compliance with regulatory standards.

Requirements

  • High school diploma or equivalent (Associate's degree preferred in healthcare administration or related field).
  • Experience in administrative support, healthcare, social services, or corrections preferred.
  • Knowledge of Medicaid eligibility and application processes.
  • Proficiency in Microsoft Office (Word, Excel) and Electronic Health Record (EHR) systems.
  • Strong organizational, multitasking, and communication skills.
  • Ability to handle confidential information with discretion.
  • Ability to pass a background check and work in a secure correctional environment.

Nice To Haves

  • Experience working with Virginia Medicaid systems or Department of Social Services.
  • Familiarity with correctional healthcare operations.
  • Knowledge of medical terminology and healthcare documentation practices.

Responsibilities

  • Provide direct clerical and administrative support to the Health Services Administrator.
  • Prepare reports, correspondence, and presentations related to medical operations.
  • Maintain departmental calendars, schedules, and meeting coordination.
  • Assist with policy and procedure documentation, updates, and distribution.
  • Track and organize compliance documentation for audits, inspections, and accreditation.
  • Maintain inventory records for medical supplies and assist with ordering as needed.
  • Support onboarding documentation and administrative coordination for medical staff.
  • Screen inmates for Medicaid eligibility (e.g., inpatient hospitalizations over 24 hours, pregnant individuals, juveniles, elderly).
  • Assist with completing Medicaid applications via phone, online systems (Cover Virginia/CVIU), or paper forms.
  • Collect and verify required personal and financial information.
  • Track application status and follow up with local Department of Social Services (DSS).
  • Initiate Medicaid applications for inmates nearing release to ensure continuity of care.
  • Maintain, update, and secure inmate electronic health records (EHR).
  • Schedule off-site appointments, hospitalizations, and specialty care visits.
  • Prepare and organize medical documentation for appointments and treatments.
  • Transcribe physician orders and update medical files accurately.
  • Coordinate communication between medical staff and correctional personnel.
  • Notify hospitals of Medicaid coverage for eligible inpatient admissions.
  • Assist with medical billing coordination and documentation.
  • Compile reports on healthcare utilization, Medicaid enrollment, and inmate medical status.
  • Ensure compliance with HIPAA and all applicable federal, state, and local regulations.
