The Corporate Reception & Executive Support Coordinator manages front-desk operations and provides high-level administrative support to senior executives by professionally welcoming visitors, maintaining reception protocols, coordinating meetings and events, and handling executive scheduling and communications, with the objective of ensuring a seamless guest experience and enabling the effectiveness and productivity of company leadership.

Requirements

  • High School Diploma or equivalent (required)
  • Minimum 1 year of administrative and/or reception experience
  • Proficiency in Microsoft Office Suite
  • Strong organizational, communication, and multitasking skills
  • Discretion in handling confidential information

Nice To Haves

  • Prior experience in hospitality or professional services (preferred)
  • Basic Canva and data entry experience (a plus)

Responsibilities

  • Manage front desk and visitor facing operations by warmly welcoming guests, maintaining a clean and organized reception area, managing the visitor log, and responding promptly to inquiries.
  • Provide administrative support to Senior Vice Presidents by managing complex calendars, coordinating travel arrangements, processing expense reports, and handling sensitive communications with discretion.
  • Organize internal meetings and events by securing venues, arranging catering, preparing materials, and coordinating logistics.
  • Serve as the liaison for external service providers and deliveries by monitoring access points, ensuring adherence to sign-in procedures, and directing visitors or vendors appropriately.
  • Support internal communication and cross-departmental alignment by coordinating administrative requests, routing information, and responding to inquiries in a timely and professional manner.
