The Employee Engagement team is looking to add a Corporate Event Specialist to support our on-going engagement activities for employees. As a Corporate Event Specialist, you will play a key role in supporting the planning and execution of a variety of company events, including our annual sales summit, leadership meetings, corporate parties, team on-sites, learning and development opportunities, and more. You will work closely with leadership, executives, and external vendors to ensure every event is a success and aligns with our company culture.

Requirements

  • 3-5 years of experience in event coordination, preferably in a corporate or fast-paced environment.
  • Strong organizational and administrative skills, with the ability to handle multiple events simultaneously.
  • Excellent written and verbal communication skills.
  • Strong problem-solving abilities and an ownership mindset.
  • Ability to work independently and as part of a team.
  • Ability to work evenings or weekends as needed to support events.
  • Proficiency with Google Office Suite and event management tools.
  • Event planning certification or related training is preferred.

Nice To Haves

  • Experience working with leadership teams and managing vendor relationships.
  • Strong attention to detail and ability to anticipate event needs.
  • Experience with budget management and cost tracking.
  • Comfortable working in a fast-paced, dynamic environment.
  • Proficiency with tools and software for event planning and coordination (e.g., Cvent, Eventbrite, Asana, or Microsoft Excel).
  • Familiarity with virtual event platforms if required (Zoom, Microsoft Teams, etc.).

Responsibilities

  • Plan, coordinate, and execute company events, including internal meetings, corporate celebrations, conferences, summits, training sessions, team on-sites, volunteer opportunities, presidents club incentive trip, team-building activities, and more.
  • Coordinate with vendors, including venue selection, catering, entertainment, and other event services.
  • Manage event budgets, track expenses, and ensure events are within the allocated budget.
  • Order and distribute event swag and supplies, ensuring timely delivery and availability.
  • Work closely with executives and leadership teams to understand event requirements and ensure events meet company expectations.
  • Oversee event logistics, including setup, registration, and coordination of all on-site activities.
  • Collaborate with various departments to ensure all event needs are met, including learning and development initiatives, employee recognition programs, and social events.
  • Maintain clear communication with all stakeholders, ensuring all parties are informed of event details and timelines.
  • Employee has an individual responsibility for knowledge of and compliance with laws, regulations, and policies.
  • Maintain HIPAA/patient confidentiality.
  • Regular and reliable attendance as assigned by your schedule.
