About The Position

This role provides high-level administrative support to senior executives by managing complex calendars, coordinating large corporate events, and providing other ad hoc support to the executive leadership team. Responsibilities include supporting Board of Directors meetings through the preparation of presentations, reports, and meeting materials, handling confidential information with discretion, and coordinating related logistics. As a key point of contact for internal and external stakeholders, this position also oversees daily operations for the Branch Services Center. Additional responsibilities include maintaining compliance documentation, maintaining internal resources such as SharePoint, and serving as a liaison for leasing activities across the company’s facilities portfolio. The ideal candidate will have 5+ years of experience supporting executive leadership, preferably at the C-suite level, and a strong understanding of corporate compliance requirements, including state filings, trade licensing, and entity management.

Responsibilities

  • Manage executive calendars, scheduling priorities, and related meeting preparation
  • Prepare presentations, reports, and materials for executive leadership and Board meetings
  • Coordinate Board meeting logistics, including agendas, materials distribution, and event arrangements
  • Plan and execute corporate events such as offsites, annual meetings, and leadership gatherings
  • Maintain SharePoint sites, internal resource libraries, and administrative documentation systems
  • Manage internal templates, forms, and communication tools to support operational consistency
  • Provide ad hoc administrative support across the executive leadership team as needed
  • Manage trade and business license applications, renewals, and filings across operating jurisdictions
  • Maintain entity records, annual registrations, and state compliance documentation
  • Track filing deadlines and ensure timely completion of corporate compliance requirements
  • Maintain organized corporate records, contracts, and governance documentation
  • Coordinate documentation related to entity changes, mergers, acquisitions, and related filings
  • Support internal requests for regulatory, legal, and corporate records information
  • Track lease agreements, renewals, and facility documentation in coordination with external real estate partners
  • Serve as liaison between internal stakeholders and external vendors for facilities-related matters
  • Manage administrative vendor relationships including office systems and service providers
  • Oversee day-to-day administrative operations supporting the Branch Services Center
  • Coordinate office communications including closures, weather alerts, and facility updates
  • Support workplace systems such as Envoy, DocuSign, and security platform administration
