In this role, we work together to generate purchase orders (POs) and maintain accurate vendor information across our core systems - SAP, SMART, and Graphite. Together, we ensure timely procurement of goods and services, maintain accurate vendor data, and support our financial operations with precision and compliance. Requirements

  • Bachelor's degree with 2+ years of relevant work experience
  • Proficient in Microsoft Teams, Word, Excel, and other internet-based software
  • Self-motivated, proactive, and able to work independently, with strong verbal and written communication skills
  • Experience in the entertainment industry, including digital cinema mastering, basic post-production knowledge, and familiarity with international servicing and distribution

Responsibilities

  • Purchase Order Management: Create, issue, and handle purchase orders in SAP and SMART based on approved requisitions, ensuring pricing and coding accuracy
  • Budget Closure for Released Titles: Verify all invoices have been received against created POs, liaise with vendors to confirm amounts and PO numbers for submission
  • Vendor Information Management: Onboard new vendors and maintain existing vendor information, including tax IDs, banking details, and compliance documentation
  • Collaborate with vendors and finance teams on portal onboarding and invoice issues
  • Update and add digital screens, including Atmos, Dolby Vision, and PLFs
  • Handle release date schedules by title
  • Generate the international Release Date Schedule (RDS) email every Thursday for the RDS Distribution Group and vendors
  • Set up security for on-lot screening events
  • Run billback reports to identify costs per circuit and create corresponding POs
  • Reconcile security invoices against event bookings for billing purposes
  • Liaise with vendors to close out POs and billback reports
  • Organize billback reports by business unit to provide finance with total cost summaries (e.g., marketing, field publicity, awards)
  • Run week-of-trade screenings cost reports by circuit to capture all expenses per exhibitor
  • Create POs for tech engineer companies based on approved estimates
  • Create POs by title for each exhibitor and security provider, and distribute to vendors
  • Capture and store all billing information in shared folders for reference
  • Assist in preparing reports, financial data, and analysis
  • Support the screenings team for on-lot events when needed
  • Ensure the security team is in place and projections have the correct content and keys
