About The Position

Supports the Technical Services division with administrative, planning, logistics, and execution support. Responsible for completing elevated financial requests and office ambassador duties with limited supervision.

Responsibilities

  • Assists and supports management in the administrative tasks and responsibilities associated with the Technical Services department including but not limited to the Ride & Show, Facilities, Hotel Facilities, and Central Services teams. Partners with all teams across Universal Kids Resort including but not limited to Operations, Revenue Operations, third-party vendors, Digital and Technology, Legal/Claims, Environmental, Health, and Safety. Supports the Managers in each of the respective departments by coordinating with UDX stakeholders, third-party service providers, and inter-departmental communications.
  • Coordinates with Technical Services management for daily staffing requirements, access, and concerns with third-party vendors including Pest Control, HVAC Maintenance, Electrical, elevators, restaurant equipment, and various other services. Ensures entry access and regulatory measures are communicated and followed. Resolves and eases sensitive internal/external situations through collaboration across departments in a timely manner to ensure continuous operation.
  • Assists with preventative maintenance plans for facilities and central services by ensuring proper documentation, confirming frequency and target completion to facilitate operational schedules. Works closely with the Facilities management team, engineers, and project managers in planning projects providing a detailed scope of work, written procedures and estimated time, materials and resources needed for all project repair work. Kits all parts for various jobs and stages materials/equipment in preparation for completion of work.
  • Serves as key partner for Maximo Functional Administration and support for monitoring system requests, issues, and enhancements. Supports the creation and maintenance of user accounts, security group access, and business information. Develops and maintains detailed Maximo user guides and standard operating procedures. Assists end users on Maximo functionality, system solutions and continuous improvement projects.
  • Analyzes, compiles, updates, and maintains department data on spreadsheets. Completes necessary documentation and other departmental supply orders and service requests. Drives communication between Finance, Shared Services, and other operational departments by providing appropriate documentation and addressing queries. Routinely audits storage locations to ensure quality and safety standards.
  • Supports the procurement of goods and services necessary for the assigned Technical Services team, carefully tracking and entering all items, to include Purchase Orders and Discretionary Work Orders, into required corporate financial tracking systems, such as SNAP and Maximo. Generates spreadsheets or other documentation as required to keep track of purchases and, where possible, predict future purchases.
  • Provides clerical support to all Technical Services departments by creating communications, presentations, and corresponding materials while maintaining equipment inventory, product assistance, and sourcing requests. Supports Technical Services leadership in maintaining all regulatory training tracking, Environmental, Health & Safety training and compliance efforts, and updating standard operating procedures and documentation.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UDX policy, procedures, training, and team member involvement activities.
  • Perform other duties as assigned.
