Blavity Inc. is seeking a Coordinator, Talent & Programming - Live Events (W2, Contractor) to provide administrative, logistical, and on-site support for event programming across AfroTech Conference, Blavity House Party, Blavity Fest, AfroTech Executive, and other company events. This role will focus on talent research, project organization, event production support, and on-site assistance to ensure accurate and seamless programming execution. The ideal candidate is detail-oriented, highly organized, proactive, and knowledgeable about Black culture, technology, and innovation trends. This is a remote contract position with opportunities for on-site event support as needed. The Coordinator, Talent & Programming will report directly to the Director of Talent & Programming. Contractors will be responsible for providing their own equipment, including but not limited to laptop computers, cell phones, or any other electronic equipment required to perform their role.

  • Maintain and update talent trackers, programming schedules, and session details with precision
  • Leverage industry knowledge and data to support the speaker and programming team in talent research and sourcing
  • Support the management and uploading of speaker and event details into Sessionboard and Notion as needed
  • Ensure all programming details are correctly formatted for event websites, apps, and marketing materials
  • Track and organize speaker deliverables, including bios, headshots, and presentations
  • Assist with pre-production tasks, ensuring all programming elements are well-documented and organized
  • Support the talent contracting process, ensuring all contracts are saved and filed appropriately
  • Track and submit talent invoices to the Finance team, ensuring agreements are fulfilled as scoped, and invoices are processed accurately and in a timely manner
  • Provide hands-on event execution support, including speaker wrangling, session transitions, and registration assistance
  • Support event setup and breakdown, ensuring all programming elements are executed as planned
  • Compile and organize post-event documentation, including session analytics, attendance data, and content organization
  • B.A. in Marketing, Communications, Business, or related field preferred but not required
  • 1 - 3 years in event coordination, administrative support, talent sourcing, project management or content management
  • Strong organizational and project management skills with the ability to juggle multiple priorities
  • Fluent in Microsoft Office, Google Suite, Asana, Notion and/or comparable project management suite
  • Experience in event production, on-site logistics, or programming operations
  • Proficiency with Google Suite, especially Google Docs and Google Slides
  • Proactive self-starter able to work independently in fast-paced environments
  • Strong communicator who is outgoing, sociable, and capable of managing stakeholder relationships
  • Exceptionally detail-oriented with a commitment to documentation and organization
  • Deep knowledge of and passion for Black culture, technology, and innovation
  • Willingness to travel for on-site event support as needed
  • A healthy appreciation of GIFs and Black culture

  • Hourly compensation range of $25 - $30 per hour
