The Coordinator Special Events at Hilton Grand Vacations is responsible for assisting in the creation, development, and implementation of special events for a designated region. This role focuses on ensuring outstanding event execution, building strategic relationships, and maintaining high customer satisfaction while managing various operational aspects of events.

  • Assist in the creation, development, and implementation of special events.
  • Develop and perform all facets of the events to ensure outstanding Profit per Tour statistics.
  • Implement site inspections, permit hearings, planning meetings, and event execution.
  • Build strategic relationships with national partners to improve event quality and customer satisfaction.
  • Communicate with site-level Project Directors, Marketing Directors, and Sales Managers to ensure events are on schedule and goals are met.
  • Develop site-specific operations plans for all aspects of event production.
  • Forecast resource requirements and develop event staffing plans.
  • Supervise resource requirements for each event.
  • Lead venue relations and expectations throughout the event production life cycle.
  • Build, maintain, and implement schedules, budgets, and event status.
  • Source venues and engage catering to implement quality events within budget.
  • Negotiate agreements with outside providers and subcontractors.
  • Build and submit purchase orders and secure vital permits for event execution.
  • Build and maintain positive relationships with event vendors.
  • Coordinate with other departments to ensure successful event delivery.
  • Build and distribute event itineraries and anticipate guest needs.
  • Prepare shipping/transport of event-related supplies.
  • 1-2 years of previous event management experience in direct-to-consumer sales.
  • Strong organizational and administrative skills.
  • Proficiency with MS Office, including Word, Excel, and Outlook.
  • Ability to work any day of the week and any shift, including weekends and holidays.
  • Ability to interact with internal and external customers at all levels.
  • Strong customer service orientation and focus.
  • Competitive salary range of $54.5K - $69K per year.
