Canon U.S.A.'s Corporate Human Resources Division is on the lookout for an exceptional Program Coordinator III to join our International Affairs division. As a vital team member, you'll play a pivotal role in ensuring our expatriate staff experience a seamless and welcoming transition. From new hire documentation to transportation and housing logistics, your dedication will help make Canon's global operations truly world-class. Additionally, this position is full time and offers a hybrid work schedule requiring you to be in the office three days a week, which will include Monday and Wednesday, a third day in the office which will be Tuesday and an option to work from home the remainder of the week (unless a specific business need arises requiring in office attendance on other days). Note that work schedules and office reporting requirements may change from time to time based on business needs. Regular business hours are generally Monday to Friday 9:00 am to 5:00 pm.

  • Provide administrative support to the International Affairs department, coordinating departmental processes and creating detailed spreadsheets and reports.
  • Coordinate executive participation in external events and Canon sponsorships with key vendors as needed.
  • Support expatriate payroll, benefits, annual tax processes, and related budgetary aspects.
  • Act as the primary liaison with external vendors, ensuring smooth communication and issue resolution.
  • Process departmental invoices and handle financial tasks within Oracle (including procurement card reconciliation, WEB ADI, chargebacks, etc.).
  • Maintain temporary housing of expatriate staff, including contract renewals and negotiations.
  • Handle initial housing setup, ongoing maintenance, and troubleshooting of temporary housing.
  • Procure and maintain furnishings and services (utilities, cleaning, etc.) for expatriate housing.
  • Coordinate activities related to the reception and repatriation of expatriates, including scheduling orientation, preparing necessary documentation (binder production, updates), arranging transportation to/from the airport, and ensuring the timely submission of paperwork to HR Payroll and Benefits teams.
  • Coordinate Canon Americas employee headcount survey (Group Resource Survey).
  • Perform other administrative duties as needed to support departmental operations and ensure smooth execution of tasks.
  • Typically requires general and/or vocational training plus 2 to 4 years of related experience.
  • Self-starter with effective time management skills and the ability to adjust priorities to ensure deadlines are met.
  • Proficiency in MS Excel is preferred.
