About The Position

Coordinator, Professional Programs is responsible for major functions in admissions, record keeping, and forms completion of professional educator certifications in College of Educator Certification and Academic Services. This individual coordinates with multiple outside departments on the admission and matriculation of candidates seeking professional certifications. The Coordinator, Professional Programs evaluates and documents student completion of all necessary requirements to qualify for admission, retention, and certification under the direction of the Program Director for Education. The Coordinator, Professional Programs ensures that all records with TEA for professional candidates are accurate and reflect enrollment in COEHS.

Requirements

  • Bachelor’s degree or equivalent education and experience
  • Two (2) years of experience working with databases and computers
  • Experience working in Higher Education & Knowledge of TEA Requirements and TEAL.
  • Background in Record Keeping
  • Ability to: Maintain Confidentiality
  • Working Knowledge of database Management
  • Working knowledge of office equipment, including computers and calculators
  • Demonstrated ability in WORD, EXCEL and Database Programs including queries
  • Good knowledge of English grammar, punctuation, and correspondence requirements
  • Excellent attention to detail and accuracy
  • Self-motivated
  • Effective communication skills including verbal and written communications
  • Ability to exercise sound judgment in establishing and maintaining effective working relationships with fellow employees, the University community and the public in general.

  • Working knowledge or experience related to graduate school admissions at an Institution of Higher Education
  • Knowledge of Texas Administrative Code related to EPPs including admission requirements

Responsibilities

  • Collaborate on updates to the professional certification application processes and procedures with the graduate school, academic departments, and certification office staff.
  • Clearly communicate application requirements, certification requirements, and TAC requirements for professional certificates to applicants, candidates, faculty, and staff.
  • Process applications in the certification office for professional certificate programs. This includes collection of required documents and correspondence with applicants and academic program coordinators.
  • Track and communicate the status of graduate school applications that correspond to professional certification programs in order to verify that records for admittance in the certification office are correct and complete.
  • Track the matriculation of professional certification program candidates. This includes updating ASEP, the Certification Office Database, and correspondence with candidates when they withdraw, are removed, or complete the program.
  • Assist the Certification Specialist in reviewing professional certification applications, reviewing supporting documentation and determining eligibility status for processing applicants for recommendation for Texas Standard Certification.
  • Assist with the creation of requested deficiency plans used for emergency permits.
  • Provide information and documentation for EPP transfer requests.
  • Provide information to current and future candidates requesting professional certification information and respond to requests for information regarding certification.
  • Support the development and maintenance of certification forms and documents including information verifying eligibility of various certificates.
  • Assist with review and maintenance procedures of all candidates records.
  • Maintain an understanding of TEA and EPP Program regulations, as well as policy and procedures.
  • Aid in the implementation of certification policies and procedures.
  • Recommend needed updates to the web pages/community pages related to professional certification areas.
  • Additional duties as reasonably assigned.
