About The Position

Wolf Trap Foundation for the Performing Arts is seeking a Coordinator, Facilities, to manage and administer Foundation-utilized facilities at Wolf Trap National Park for the Performing Arts (the “Park”) and other Wolf Trap Foundation for the Performing Arts (the “Foundation”) campuses and locations. Responsible for planning, coordinating, and overseeing day-to-day facility operations, including maintenance services, vendor and contractor management, and facility improvement projects. Exercises independent judgement in managing facility operations, budgets, and service delivery to ensure facilities are safe, operationally efficient, compliant with applicable standards, and aligned with the Foundation’s mission and programmatic needs.

Requirements

  • Associates degree or equivalent, transferable experience
  • 2-4 years of relevant work experience required.
  • Ability to work during early morning, evening, and/or weekend hours as needed.
  • Excellent organizational, written, and verbal communication skills.
  • Excellent customer service, internal client relationship, and teamwork skills.
  • Excellent time management and project management skills, with evidence of overseeing, prioritizing, and executing multiple projects and deadlines.
  • Strong cost management skills.
  • Proven 3rdparty vendor management skills.
  • Proficiency in computer use, with working knowledge of appropriate software including but not limited to Microsoft Office suite, facilities management platforms, and lighting/HVAC management programs.
  • Sensitivity and commitment to the mission of Wolf Trap Foundation for the Performing Arts.
  • Remain in a stationary position 50 percent (50%) of the time.
  • Regularly operate a computer and other office equipment (i.e. calculator, copier, printer, etc.)
  • Regularly walk, stoop, bend, and reach with arms.
  • Frequently lift/move up to 30 pounds.
  • Occasionally ascend/descend a ladder to service areas within and around managed facilities.
  • Occasionally operate power tools, hand tools, and landscaping equipment (both powered and manual).

  • Applicants who reside in any other state would be required to be physically located in and provide a local address in Virginia, Maryland, or the District of Columbia prior to starting work for Wolf Trap Foundation.

Nice To Haves

  • Work experience in project management is preferred.
  • Work experience in relevant trades (e.g. electric, plumbing, HVAC) a plus.

Responsibilities

  • Oversee and manage facility operations for all assigned Foundation owned and/or managed properties, including planning work schedules, establishing priorities, reviewing work quality, and ensuring compliance with applicable standards and procedures.
  • Develop, review and revise maintenance procedures and operational guidelines; ensure required maintenance procedures are completed efficiently, documented appropriately, and aligned with organizational needs.
  • Partner with National Park Service staff to oversee and optimize maintenance and upkeep operations for patron and performer spaces.
  • Manage and maintain all facility records for assigned locations, including building plans, specifications, operations and maintenance manuals, ensuring accuracy, accessibility, and compliance with organizational standards.
  • Direct and coordinate all grounds and parking area maintenance for managed properties -including snow and ice removal, landscaping, and related site services – ensuring operational efficiency, safety, and compliance with organizational standards.
  • Act as on-call liaison for Rentals and Special Events teams during rental and donor events as well as Program and Production and Hospitality teams.
  • Oversee procurement planning for facilities-related supplies and equipment, ensuring adequate inventory levels and equipment necessary for efficient and productive workflow of Foundation staff.
  • Direct and manage custodial, maintenance, and repair vendors for all assigned facilities, overseeing service scope, scheduling, budgeting, and invoicing to ensure operational excellence, cost efficiency, and compliance with organizational standards.
  • Oversee and coordinate the relocation of furniture and equipment across all assigned facilities, ensuring optimal workspace functionality for staff and seamless execution of planned events.
  • Oversee and coordinate all shipping/receiving activities for assigned facilities, ensuring timely, accurate, and efficient movement of materials and supplies.
  • Assist supervisor and Vice President, Facilities in preparing and monitoring the annual operating budget for assigned facilities; analyze needs, develop cost estimates, and recommend projects for inclusion.
  • Collaborate with departments to scope, cost estimate, and recommend projects in all assigned facilities for inclusion in the annual operating and/or capital improvement budget.
  • Act as the primary liaison for Foundation staff regarding all facility-related operations and issues, providing oversight, guidance, and resolution to ensure efficient and effective facility management.
