About The Position

The Facilities Coordinator is responsible for coordinating repairs and maintenance for various systems including HVAC, electrical, plumbing, and more. This role involves managing vendor activities, maintaining detailed records of work requests, and following up on outstanding work orders. The coordinator will review and approve vendor quotes for high-value repairs, audit vendor performance, and assist in vendor selection. Additionally, the position oversees the design and execution of multi-store capital and expense projects, analyzing repair history to identify opportunities for process improvement.

Requirements

  • High school graduate or equivalent.
  • 2-4 years of previous experience in Facilities or Construction Management.
  • Knowledge of Microsoft Office applications including Word & Excel.
  • Familiarity with energy management systems and CMMS (maintenance) systems.
  • Ability to obtain bids and negotiate contracts.
  • Knowledge of accounting and budgeting processes.

Responsibilities

  • Promptly respond to maintenance and repair requests for assigned facilities.
  • Coordinate work with management and assign tasks to appropriate vendors.
  • Negotiate and bid work to obtain competitive pricing.
  • Maintain records of all completed work and monitor scheduled maintenance.
  • Review and code invoices, recording costs to stay within budgets.
  • Coordinate and follow up on assigned work to ensure vendor compliance.
  • Negotiate and submit contracts for management approval.
  • Maintain Certificates of Insurance and Indemnification Agreements for vendors.
  • Coordinate with other departments such as Real Estate Property Management and Store Operations.
  • Assist in the execution of multi-store capital and expense programs.
  • Analyze historical repair costs to identify process improvements.
  • Maintain and update departmental data files and historical information.
  • Perform other duties as assigned by the Manager, Store Facilities.
