About The Position

The Distribution Services and Traffic team is responsible for coordinating the movement of orders within the organization, ensuring efficient processes and timely delivery. This includes adapting to changes, optimizing workflows, and providing exceptional customer service. Overall, our goal is to support business growth and create a productive environment by ensuring seamless operations and meeting customer commitments. Our Distribution Services and Traffic team works closely with boutiques to organize their priorities on a daily basis. By effectively managing the flow of products and aligning with boutique needs, we aim to ensure that their orders are processed efficiently and delivered on time. This collaborative approach allows us to meet customer commitments and support overall business growth. This position is based onsite in our Dayton, NJ Distribution & Service Center.

Requirements

  • 1-2 years of experience in a similar role or department.
  • Minimum educational requirement of a High School Diploma (BS or BA Degree preferred).
  • Excellent attention to detail and strong organizational skills.
  • Ability to work independently with little supervision.
  • Proven track record of meeting short and long-term goals and deadlines.
  • Intermediate to Advanced knowledge of Microsoft Excel.
  • Strong written and verbal communication skills.

Nice To Haves

  • Experience with SCALE WMS, Cegid, Microsoft Office Suite & TEAMS, EDI, HCare, Infocenter.
  • Demonstrates a willingness to work with team members in various departments.
  • Ability to display appropriate level of urgency when addressing client escalations.

Responsibilities

  • Provide exceptional customer service to both internal and external clients.
  • Provide order statuses for all client purchases from order inception to the actual receipt of goods.
  • Communicate clearly with assigned clients and anticipate their needs and expectations.
  • Process incoming order requests from internal and external clients.
  • Offer clients alternative item selections if original requests are not available.
  • Process stock orders from vendors and ensure purchase orders are confirmed with estimated delivery ETA.
  • Review daily back-order report to anticipate and communicate the status of client order requests.
  • Negotiate order extensions and coordinate with the distribution center for timely delivery.
  • Review and correct client order confirmations utilizing EDI software.
  • Issue Return Authorizations as requested and approved by the sales division.
  • Prepare Loans and ITS documents for the Dayton warehouse.
  • Generate and review department reports such as Merchandise On-Hand and Summary of Open Pick Tickets.
  • Assist management with the status of pending inbound shipments.
  • Summarize and inform the shipping department of any changes to vendor routing guidelines.
  • Assist with the investigation of vendor chargebacks.
