About The Position

The Coordinator serves in a support role managing the day-to-day elements of the Center for Technology, Innovation and Space. This position focuses on four core areas: (1) implementing tech diplomacy convenings, (2) supporting Meridian’s Tech Labs program, (3) coordinating Center financial and administrative deliverables and managing stakeholder relationships, and (4) supporting research for TIS workstreams. Work on these core areas includes audience management, program preparation and database organization. The ideal candidate will combine strong research and writing skills with administrative & logistical experience and a passion for international cooperation in technology and policy. This position is located in Washington D.C. and Meridian requires MD, DC, or VA residence for all employees. The position may work partially remotely until further notice.

Requirements

  • Undergraduate degree; focus on international relations, public policy, tech policy, or related field preferred.
  • 2-4 years of relevant experience
  • Or any equivalent combination of training, education, and experience that demonstrates the ability to perform the essential functions of the position
  • Excellent research, writing, and analytical skills.
  • Ability to manage multiple projects simultaneously and meet deadlines.
  • Strong inter-cultural communication skills; maturity, cultural sensitivity, and tact suitable for working with individuals from around the world.
  • Proficiency in Microsoft Office, including Word, Excel and PowerPoint, Outlook and Teams is necessary for this role

Nice To Haves

  • Familiarity with technology policy, international cooperation, and space and technology issues preferred.
  • Experience with Canva, Zoom and Salesforce is helpful

Responsibilities

  • Assist with strategic planning of cohort recruitment across Congressional offices, Executive Branch agencies, and other audiences.
  • Maintain and track materials such as alumni lists, syllabi, and course surveys.
  • Liaise with the communications team on Labs-specific communication, including weekly emails to cohort participants, recruitment email blasts, and social posts.
  • Handle scheduling and outreach logistics for speakers and other experts.
  • Coordinate logistics with Meridian’s events team and internal stakeholders on in-person Lab sessions.
  • Provide day-of support for Labs sessions as needed, including assisting with Zoom meeting administration, check-in for in-person meetings, and compiling materials needed.
  • Manage audience engagement: identify and invite participants, oversee online registration, track RSVPs, and send reminders and thank-you notes.
  • Liaise with the communications team to implement event communications strategies.
  • Draft event materials such as session descriptions, talking points, briefing documents, speaker bios, and post-event summaries.
  • Identify, secure, and prepare speakers and moderators representing varied backgrounds across diplomacy, business, policy, and civil society.
  • Coordinate logistics with Meridian’s events team and internal stakeholders to ensure seamless program delivery.
  • Provide day-of support for assigned programs, including attendee registration, stakeholder management, and notetaking.
  • Arrange travel, accommodations, and other logistical concerns for program speakers and participants.
  • Organize logistics for off-site programming – including venue, vendor, and client (when applicable) coordination.
  • Support monitoring and evaluation efforts through data analytics of registration, speaker diversity, and program evaluations and reporting on program deliverables
  • Administer financial components – track budget, pay bills, process checks, reconcile credit card statements, prepare receipts, and acknowledgements.
  • Administer TIS convening series webpages using WordPress and create digital content highlighting programs, to include composition of short reports summarizing main takeaways for internal and external reports; curate photo galleries for website and/or thought leadership purposes.
  • Serve as repository, facilitating Meridian’s senior leadership correspondence with—and awareness of—organizational relationships with the foreign diplomatic corps, U.S. government, and technology leaders, and tracking records using Salesforce database.
  • Oversee technical aspects of hybrid and virtual events – includes setup and production of Zoom webinars, Zoom meeting, video cameras, audio/sound board, and other platforms and tools.
  • Responsible for completing all organizational administrative responsibilities in a timely manner and meeting all organizational administrative deadlines.
  • Assist with analysis of US government plans and activities on tech policy.
  • Synthesize data from interviews, convenings, and research into actionable insights for program development.
  • Assist with background research to complement primary sources for research publications.
