About The Position

Masterpiece’s Art Fairs Division provides energetic and attentive staff with a keen understanding of the urgency inherent in fair operations. With over 30 years of experience, we offer comprehensive administrative support and timely estimates. Leveraging our network of offices, we ensure swift customs clearance and direct deliveries to fairs by skilled art technicians. This coordinator will support fine art logistics operations, including preparing estimates and coordinating air, sea, and ground shipments. It involves independently handling import/export files, documentation, billing, and communication with clients, vendors, and government agencies. Strong organization and knowledge of fine art logistics, international shipping, and basic art handling are required. The role supports art fair planning and executes on‑site logistics, inventory management, and post‑fair coordination. Travel to local, domestic, and some international fairs is required.

Requirements

  • Undergraduate degree preferred.
  • 5-7 years minimum industry experience.
  • Customs Brokerage and/or Freight Forwarding experience preferred.
  • Basic understanding of fine art handling, installation and packing methods
  • Strong understanding of systems including, Outlook, Word, Excel, ArtWise and CargoWise
  • Must have a Valid Passport
  • Ability to work onsite at all local and most domestic fairs (specific calendar to be reviewed upon hire) is required, and possibility of travel for foreign fairs will be reviewed on a case-by-case basis, but the ability to do so will be required

Nice To Haves

  • Customs Brokerage and/or Freight Forwarding experience preferred.
  • Undergraduate degree preferred.

Responsibilities

  • Timely completion of estimate requests including but not limited to the rating and booking of Airfreight, Sea freight and Ground transportation.
  • Interface with clients, vendors, and government agencies as applicable including but not limited to Customs, BIS, TSA, USDA, FDA, USFWS and DOT.
  • Set up and independently manage export/import files including logging, file setup, documentation, communications, rating and billing with the ability to meet deadlines from start to completion.
  • Maintain files in an organized fashion including copies of all documentation, communications and other related items.
  • Assist department manager with operations issues including customer satisfaction, profitability and interface with other Masterpiece offices.
  • Anticipate needs of clients and seek out information to meet their demands
  • Maintain compliance with Masterpiece policies and procedures.
  • Assist department manager as necessary with maintenance of quality vendor relationships.
  • Possess and maintain a thorough knowledge of fine art logistics, and basic international shipping processes and protocol.
  • Assist the manager and existing team members with Art Fair planning, with an emphasis on operational aspects, future schedules, and client growth and development.
  • Assist the manager to develop and expand systems already in place, to sustain and simplify future operations, both in the office and at art fairs.
  • Independently perform general client logistical tasks. Including, but not limited to import coordination, export coordination, on-site logistics and inventory management, and maintenance of post-fair storage accounts and domestic transports.
