About The Position

ArtCenter College of Design is searching for an experienced Coordinator, Alumni and Industry Engagement to join our team. About ArtCenter Founded in 1930 and located in Pasadena, California, ArtCenter College of Design is a global leader in art and design education and has had an international reputation for its rigorous, transdisciplinary curriculum, faculty of professionals, strong ties to industry, and commitment to socially responsible design. ArtCenter is a private nonprofit fully accredited by the WASC Senior College and University Commission (WSCUC). Every position at ArtCenter plays an important part in carrying out the cultural values, goals, strategic vision, and mission of the College. Reporting to the Director, Alumni and Industry Engagement, the Coordinator, Alumni and Industry Engagement supports the development and execution of strategies to engage alumni and industry partners in meaningful ways that advance the mission and goals of ArtCenter College of Design. This role assists the Director and Associate Director, Alumni and Industry Engagement, as well as Vice President, Strategic Partnerships, in fostering lifelong relationships between the College, its alumni, and industry stakeholders through event coordination, communications, volunteer support, and data management. The Coordinator plays a key role in implementing engagement initiatives and supporting cross-departmental collaboration. This is a full-time position. Normal business hours are Monday through Friday, 8:30 a.m. to 4:30 p.m. The position is eligible for flexible scheduling and can be performed hybrid with the expectation of at least 3 days in the office or required as a condition of employment. The demands of this work may include weekends or evenings as well as travel. The college reserves the right to modify schedules as needed to meet the business needs with appropriate notice. The College reserves the right to determine the work mode.

Requirements

  • High school diploma or GED equivalent
  • At least 2 years of administrative support experience in an office or general administrative environment
  • Strong organizational and project coordination skills
  • Detail-oriented with a proactive approach to problem-solving
  • Ability to work collaboratively in a fast-paced environment
  • Strong written and verbal communication abilities
  • Proficiency in Microsoft Office Suite
  • Demonstrated experience in cultivating an inclusive, respectful, and welcoming environment into workplace practices within ArtCenter's diverse communities
  • Ability to handle all information with tact and discretion and recognizes the confidential nature of ArtCenter business

Nice To Haves

  • Prior experience in higher education and industry
  • Prior experience in alumni relations, event planning, communications, or related fields
  • Experience using CRM systems (e.g., Raiser’s Edge, Salesforce)
  • Familiarity with digital marketing tools and social media platforms

Responsibilities

  • Volunteer and Affinity Group Support
  • Coordinate meetings and communications for alumni affinity groups, regional chapters, and industry cohorts
  • Support volunteer recruitment, onboarding, and recognition efforts
  • Maintain records of volunteer participation and engagement
  • Data and Reporting
  • Track engagement metrics and prepare alumni and industry reports to assess program effectiveness
  • Assist in analyzing data to inform strategy and improve outreach efforts
  • Support CRM updates and data integrity in collaboration with Advancement Services
  • Program and Event Coordination
  • Assist in planning and executing alumni and industry events including reunions, networking receptions, panels, and virtual programs
  • Coordinate logistics such as venue booking, catering, registration, and communications
  • Support the development and management of alumni affinity groups and volunteer programs
  • Collaborate with the Director, Alumni and Industry Engagement, Associate Director, Alumni and Industry Engagement, and the Vice President, Strategic Partnerships to support industry engagement activities
  • Communications and Outreach
  • Draft and distribute communications including newsletters, event invitations, and social media content
  • Maintain alumni and industry contact lists and ensure accurate records in the CRM database
  • Partner with the Associate Director, Alumni and Industry Engagement and the Executive Director, Annual Giving and Development Communications to support alumni outreach and storytelling initiatives
  • Execute engagement communications for industry partners under the oversight of the Director, Alumni and Industry Engagement, Associate Director, Alumni and Industry Engagement, and the Vice President, Strategic Partnerships
  • Administrative Support
  • Provide administrative support to the Director, Alumni and Industry Engagement, Associate Director, Alumni and Industry Engagement, and the Vice President, Strategic Partnerships
  • Assist with budget tracking, vendor coordination, and meeting scheduling
  • Respond to inquiries from alumni and industry partners
  • Coordinate, organize, onboard and track the department’s student workers, authorize and submit copies of Student Employment Authorization Forms to Employee Experience; maintain digital records
  • Other duties as assigned
  • Serve on educational or college-wide committees, work groups, task forces and/or councils
  • Stay informed of trends in alumni and industry engagement
