Knowledgeable of hospital’s policies and procedures, Joint Commission standards and HIPPA Privacy Practices as related to the Admission Department. Performs, organizes and delegates routine coordination of functions within the department. Meets deadlines with prompt, thorough approach, with ability to prioritize various requests and complete duties as required. Provides ongoing support and expertise through mentoring and assessment of department. Performs and manages routine and detailed coordination functions within the department. The duties of this position are not limited to this list and can be changed when deemed necessary. Educational Requirements High School Diploma or equivalent. Must be able to communicate effectively in English, both verbally and in writing. Certification/Knowledge/Skills/Abilities: Minimum of two years of essential experience in the Patient Access department or up to three years related experience. Ability to communicate effectively and courteously. Demonstrate patience, tact, diplomacy and persistence in daily contact with all customers. Performs effectively under stress to meet deadlines. Must have the ability to organize, prioritize work according to written or verbal instructions using organizational skills and sound judgment. Ability to listen and display professionalism and confidentiality. Physical Requirements Requires eye-hand coordination and manual dexterity. Requires corrected vision and hearing to normal range. Must distinguish the difference between numbers and symbols. May require some lifting up to 20 pounds. Will be required to assist patients to their rooms, by walking, pushing in a wheelchair or calling nursing to assist. Must be able to read and write the modern English language. Sedentary job with frequent standing an walking Duties and Responsibilities Ensures that highest possible customer service is delivered to both internal and external customers. Proactively approaches dissatisfied customers and implements customer service recovery measures to satisfy displeased customers. Responsible for maintaining current knowledge of registration, insurance, and collections guidelines, to serve as a resource for staff, physician offices, clinical and non-clinical departments Plan and schedule work for the group ensuring proper distribution of assignments and adequate manning. Coordinates staffing schedules and approves/denies time-off requests according to guidelines and completes payroll entry and provides staffing coverage as needed. Monitors quality and accuracy of registrations and assists with quality assurance audits and reports. Assists in trending data and assists manager to resolve/fix errors i.e. duplicate MRN, incorrect data elements, etc. Participates in performance improvement (i.e. follows established work systems, identifies deviations or deficiencies in standards/systems/processes and communicates problems to manager and/or director). Takes an active role in the maintenance, testing, upgrades, & issue resolution of all registration systems. Demonstrates a high level of flexibility, commitment and availability to the department needs. Completes special assignments completely in a timely manner. Is quick to assist with needed projects/special circumstances. Manage department staff, including hiring, scheduling, training, evaluating performance and competency, and conducting disciplinary/counseling as needed according to hospital policies/procedures. Provides leadership for day-to-day operations of the department, ensuring operating efficiency and continuity of care. Performs all other tasks/responsibilities as necessary.
