About The Position

We are currently seeking a part-time (20-hours/week) Contracts Coordinator to work fully on-site in our Memphis, TN office.  This is an excellent opportunity to join and grow EnSafe, getting involved in a variety of projects for a diverse range of clients across the globe. As a Contracts Coordinator, you will play a vital role in supporting EnSafe’s contract administration, compliance, and reporting functions. Your work will directly contribute to keeping EnSafe in good standing with clients and maintaining smooth, efficient internal operations.

Requirements

  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple deadlines and work effectively under pressure.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and take initiative with minimal supervision.
  • High proficiency in data entry and information management.
  • Familiarity with legal terminology and an understanding of contractual concepts.
  • Strong technical aptitude and comfort working within various digital platforms and client portals.Excellent written and verbal communication skills – including giving and receiving constructive feedback.
  • Critical thinking and problem-solving skills, with a client-first mentality.
  • Task and leadership management.

Nice To Haves

  • Bachelor’s degree in Business, Contracts, Legal Studies, or a related field. We may consider applicants with a High school diploma/GED plus at least 5 years of relevant experience in lieu of the degree.

Responsibilities

  • Process all client supplier set-up documentation.
  • Serve as administrator for various commercial client supplier portals.
  • Manage RFPs, Purchase Orders, and supplier requirements to ensure EnSafe remains in good standing with clients.
  • Monitor the internal department portal, assigning incoming tasks to appropriate reviewers.
  • Produce regular workflow status reports for leadership and internal teams.
  • Manage all non-federal small business reporting requirements.
  • Maintain the Litigation Summary Sheet and Litigation Support spreadsheets.
  • Act as a backup for conflicts checks.
  • Receive and process vendor and subcontractor certificates of insurance.
  • Coordinate with the Corporate Health & Safety Manager to ensure ongoing compliance across client platforms.
