About The Position

The Contracts Coordinator plays a central role in supporting Hornblower Marine’s contract management and corporate compliance activities. This position is responsible for reviewing contracts, coordinating with internal contract teams and legal counsel, preparing documentation to meet contractual and regulatory requirements, and supporting companywide compliance initiatives. The ideal candidate is detail-oriented, proactive, and comfortable working across multiple departments, including Legal, Business Development, Operations, and Finance, to ensure accuracy, consistency, and adherence to company standards, policies, and obligations.

Requirements

  • Bachelor’s degree preferred (Business, Legal Studies, or related field).
  • 3+ years of experience in contracts, compliance, legal support, or a similar role (shipyard or maritime industry experience a plus).
  • Strong understanding of contract principles, legal terminology, and compliance practices.
  • Excellent attention to detail, organization, and ability to manage multiple deadlines.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite
  • Ability to maintain confidentiality and work with sensitive legal and business information.
  • Notary Public certification or willingness to obtain one.

Nice To Haves

  • Paralegal certification or experience working with in-house legal teams is beneficial but not required.

Responsibilities

  • Review, analyze, and summarize contracts, amendments, NDAs, charter agreements, and other legal documents under attorney supervision.
  • Create and maintain subcontractor contracts and vendor insurance documentation.
  • Ensure all contractual, regulatory, and company compliance requirements are met and properly documented.
  • Assist with maintaining corporate records, governance materials, permits, and related regulatory documentation.
  • Maintain organized contract files, templates, and records; track expiration dates, deliverables, milestones, and renewal requirements.
  • Coordinate contract execution and routing of documents for signature; act as a notary if certified.
  • Support preparation, proofreading, and quality-checking of documents for proposals, contract submissions, audits, and regulatory filings.
  • Collaborate with Legal, Business Development, Operations, Finance, and external counsel to gather information and ensure contractual obligations are fulfilled.
  • Conduct legal research, fact-finding, and document collection for compliance matters, investigations, and due diligence.
  • Research official correspondence and draft appropriate responses.
  • Prepare official change-order correspondence and contract claims with supporting documentation.
  • Prepare confidentiality agreements, standard templates, and other contract-related documents with attorney oversight.
  • Support general compliance activities, including monitoring internal policy adherence and assisting with compliance-related documentation.
  • Review and code external counsel invoices, and support billing policies and procedures.
  • Create purchase order language that ensures corporate protection.
  • Identify contract, lease, or compliance issues, process inefficiencies, or risks, and escalate to management as needed.
  • Participate in policy, process, and contract template improvements.
  • Support litigation or pre-litigation tasks, as well as transaction closings and due diligence activities.
  • Prepare reports, summaries, and status updates for internal departments and leadership.
  • Complete special projects and additional duties as assigned.
