About The Position

The Contracts Coordinator supports the Contracts and Customer Account Management team by coordinating the accurate processing of customer quotes, Purchase Orders (POs), and contract-related activities. This role ensures commercial documentation is properly reviewed, entered, and maintained within internal systems to support timely order execution and contract compliance. The Contracts Coordinator works cross-functionally with Estimating, Sales, Finance, and Customers to resolve routine issues and maintain data integrity throughout the order and contract lifecycle.

Requirements

  • 2+ years of experience in contracts coordination, order management, commercial operations, or a related role
  • Experience working with ERP systems and contract/order documentation
  • Working knowledge of Purchase Orders, RFQs, and basic contract structures
  • Proficiency in Microsoft Office (Excel, Outlook, Word)

Nice To Haves

  • Associate’s or Bachelor’s degree in a related field preferred

Responsibilities

  • Receive, review, and enter customer quotes into internal systems to support commercial activity
  • Track Requests for Quotation (RFQs) and coordinate with the Estimating team to ensure timely responses
  • Process customer Purchase Orders in the ERP system in alignment with contract terms and company requirements
  • Identify PO discrepancies and work directly with customers to obtain corrected or updated documentation
  • Coordinate contract-based price adjustments and submit required pricing change requests for approval and implementation
  • Maintain accurate and organized records of quotes, POs, LTAs, and supporting contract documentation
  • Support Customer Account Managers with contract administration and order management activities
  • Collaborate with internal stakeholders to resolve documentation or order processing issues efficiently
  • Assist with reporting, documentation requests, and audit support related to contract and customer order activity
  • Escalate non-routine contractual issues to the Customer Account Manager(s) or Vice President as appropriate
