About The Position

As a Recruiting Coordinator at Stord, this role is far more than just scheduling; you will act as "mission control" for the candidate journey, managing high-volume interview coordination across multiple time zones and serving as the primary point of contact for candidate logistics. You will be the operational backbone of our talent acquisition efforts, supporting a high-velocity team of six recruiters and senior recruiters. You will work at the highest levels of the organization, partnering closely with the Chief of Staff to manage complex C-suite schedules and executive assessments. Whether you are acting as a travel concierge for out-of-state candidates, troubleshooting real-time technical issues during live interviews, or optimizing our Workday ATS workflows, your mission is to ensure a seamless, world-class experience for every candidate and hiring manager.

Requirements

  • Experience: 3+ years of experience in a coordination, administrative, or operations role (Recruiting or HR coordination experience is highly preferred).
  • Scheduling Mastery: Proven ability to manage complex calendars and high-volume scheduling requests with zero loss in accuracy.
  • Tech Savvy: Strong proficiency with Google Workspace (Calendar, Docs, Sheets) and familiarity with Workday.
  • Agility: The ability to remain calm and professional in a fast-paced environment, with a "hunter" mindset for solving problems in real-time.
  • Communication: Exceptional written and verbal communication skills; you can navigate conversations with everyone from entry-level candidates to executive leadership.

Responsibilities

  • High-Volume Scheduling: Coordinate and schedule a high volume of interviews across multiple time zones, ensuring a seamless experience for both candidates and hiring managers.
  • Travel & Logistics: Act as a travel concierge for out-of-state candidates, booking flights, hotel accommodations, and managing expense reimbursements.
  • Executive Coordination: Partner closely with the people such as the Chief of Staff to navigate complex schedules and secure availability for C-suite interviews and high-level leadership assessments.
  • Real-Time Problem Solving: Act as the "mission control" for live interview days, quickly pivoting to fix technical issues, last-minute interviewer cancellations, or schedule shifts on the fly.
  • Candidate Advocacy: Ensure all candidates feel welcomed and informed, providing clear instructions for office visits or virtual panels and acting as their primary point of contact for logistics.
  • Process Optimization: Work with the recruiting team to identify bottlenecks in the scheduling process and suggest improvements to Workday, our Applicant Tracking System (ATS) workflows.
