About The Position

The Contract Coordinator supports the full lifecycle of contracts with clients, vendors, and partners. This role provides operational and system-based contract support, ensuring agreements are properly prepared, routed, executed, tracked, and maintained in accordance with company policies and procedures. The position plays a key role in administering and maintaining the company’s Contract Lifecycle Management (CLM) / Contract Management System, supporting contract intake, workflow coordination, data integrity, reporting, and compliance. The role also provides light contract administration support for lower-complexity, lower-risk agreements under established templates and guidelines. This position supports a sustained and growing volume of contract activity, including novation agreements, renewals, and ongoing contract operations needs across the organization.

Requirements

  • Diploma or bachelor’s degree in business, legal studies, procurement, or related field
  • 1–3+ years of experience in contracts, procurement, administration, project coordination, or document control
  • Experience working with a Contract Lifecycle Management (CLM) system or document management platform preferred
  • Strong organizational skills with exceptional attention to detail
  • Proficiency in Microsoft Office and data tracking/reporting tools
  • Strong written communication and stakeholder coordination skills

  • Experience in procurement, legal support, vendor management, or system-based contract administration environments

Responsibilities

  • Manage contract intake requests and ensure required documentation is complete prior to routing for review.
  • Coordinate preparation, review, execution, amendments, and renewals of contracts.
  • Route agreements through established approval workflows within the CLM system.
  • Track internal turnaround times and escalate workflow bottlenecks as appropriate.
  • Monitor key dates including expirations, renewals, deliverables, compliance milestones, and notice periods.
  • Prepare and process standardized, template-based agreements (e.g., NDAs, standard amendments, low-value vendor agreements)
  • Perform preliminary review of contracts for completeness and adherence to approved templates.
  • Administer and maintain the company’s Contract Lifecycle Management (CLM) system.
  • Upload agreements, maintain accurate metadata, ensure version control, and confirm document integrity.
  • Ensure contracts are properly stored, organized, searchable, and audit-ready.
  • Support system enhancements, template management, and metadata standardization.
  • Assist with user support and adoption of the CLM platform.
  • Generate periodic reporting and dashboards on contract volume, cycle time, renewals, and workload metrics.
  • Maintain data accuracy and support reporting integrity initiatives.
  • Perform preliminary compliance checks to confirm required documentation, signatures, and approvals are complete.
  • Ensure contract files meet internal audit, procurement, and regulatory requirements
