About The Position

Join our South Texas Health System Clinics (formerly Valley Care Clinics) team! Providers with South Texas Health System (STHS) Clinics deliver high quality family medicine, health screenings and advanced specialized care to the people of the Rio Grande Valley. STHS Clinics is committed to delivering quality healthcare and service excellence. Our clinics are affiliated with South Texas Health Systems' four acute care hospitals, behavioral health hospital, six freestanding emergency rooms and one joint venture hospital. Specially trained and highly experienced, our physician group treats a wide range of conditions using advanced technologies and minimally invasive techniques. The Contract Coordinator is responsible for managing contract authorization management agreements (CAM's) and service/vendor contracts by managing the contract databases and all associated files in an orderly and accurate manner. The Contract Coordinator also provides administrative and technical support for the IPM Market Director, all aspects of contract administration for the facility vendors & associates, physicians, and assets. The individual has latitude for decisions in executing routine phases of the work, which involves initiating, and maintaining contracts, answering correspondences, managing records, creating presentations, event planning and preparing timely reports. Must be able to maintain confidentiality and demonstrate initiative, poise, and problem-solving skills.

Requirements

  • High School Graduate/Equivalent required.
  • Associate's degree in business or healthcare related field required, or 5+ years of equivalent experience will be considered in lieu of associate's degree.
  • Minimum of 5 years' experience as an administrative or executive assistant role in a healthcare environment.
  • Proficiency in Microsoft Office applications required.
  • Strong written and verbal communication skills.
  • Excellent organization skills, attention to detail, research, and problem-solving ability.
  • Results oriented with a proven track record of accomplishing tasks within a high-performing team environment.
  • Able to multi-task and meet established time frames.
  • Strong teamwork skills and the ability to effectively communicate with all management levels.
  • Must be very detail oriented and have strong organization/time management skills.
  • Requires the ability to work independently under general instructions on a wide variety of special projects, completing assignments within strict deadlines with a high degree of accuracy.
  • Standard office equipment (laptop, computer, calculator, fax, copier, scanner, etc.)

Responsibilities

  • Responsible for managing contract authorization management agreements (CAM's) and service/vendor contracts by managing the contract databases and all associated files in an orderly and accurate manner.
  • Examine performance requirements and contract language to help ensure completeness and accuracy.
  • Verify terms and conditions with contractor if needed and may act as liaison between company and contractor.
  • Coordinates and track processes to help ensure adequate incentive quality performance measures are instituted and regulated.
  • Prepares, processes, and maintains correspondence, meetings, calendar and filing for IPM Market Director and department.
  • Maintains inventory level of supplies.
  • Maintain weekly staff meeting and Board meeting minutes as applicable.
  • Answer telephone timely, courteous and in a professional manner.
  • Schedules and prepares Board meetings as directed for the market.
  • Assist with contract coordination, administration, tracking, and obtaining/maintaining required documentation, obtaining signatures and frequent communication with physicians and other employed providers.
  • Process contract routing packages and enters data into the UHS, CAM and Apttus approval and tracking database.
  • Obtain local Administrative and Corporate approvals on contracts, CAM's, and Service/Vendor contracts.
  • Follow up to ensure that information required to complete Contracts and CAM's is received timely.
