The Contract Administrator supports the Contracts Manager in the preparation, review, execution, and administration of service contracts and related agreements within a field service organization. This role is responsible for coordinating contract documentation, maintaining contract records, supporting negotiations, and ensuring contractual compliance with company standards and client requirements. The Contract Administrator serves as a key liaison between internal teams and external partners to ensure contracts are processed accurately and efficiently throughout their lifecycle.

Requirements

  • 2–5 years of experience in contract administration or a related business function is required.
  • Strong organizational skills with exceptional attention to detail.
  • Effective written and verbal communication skills.
  • Ability to manage multiple assignments and deadlines simultaneously.
  • Familiarity with contract lifecycle management (CLM) software.
  • Proficiency in Microsoft Office and contract management systems.

Nice To Haves

  • Experience supporting service contracts, commercial agreements, or project-based work preferred.
  • Experience in field service, technical service, utilities, telecom, industrial services, or engineering environments preferred.
  • Paralegal training or contract management coursework is preferred.

Responsibilities

  • Prepare, format, and distribute service contracts, amendments, renewals, and related documentation.
  • Support the review process to ensure contracts align with company standards, commercial terms, and legal requirements.
  • Maintain the contract management system and ensure all documents are properly filed and version controlled.
  • Track contract milestones, deliverables, expirations, and renewal deadlines.
  • Coordinate signature routing and ensure timely contract execution.
  • Assist in managing the full contract lifecycle from initiation through closeout.
  • Serve as an administrative point of contact for contractual documentation with clients and internal stakeholders.
  • Coordinate with legal, finance, operations, sales, and field service teams to gather required contract information.
  • Ensure scopes of work, pricing schedules, and commercial terms are accurately reflected in contract documents.
  • Process contract modifications and change orders as directed.
  • Support compliance with internal policies, customer requirements, and applicable regulations.
  • Assist in verifying inclusion of required provisions such as insurance, liability, and regulatory clauses.
  • Maintain organized records to support audits and internal reviews.
  • Maintain contract logs, status trackers, and documentation repositories.
  • Generate routine reports on contract status, renewals, and execution timelines.
  • Support performance tracking of Master Service Agreements (MSAs) and related service contracts.
  • Provide administrative and coordination support to the Contracts Manager.
  • Assist project managers and field service teams with contract documentation and requirements.
  • Support training efforts related to contract processes and documentation standards.
  • Support the development, documentation, and implementation of union labor rate schedules.
  • Assist in preparing data, cost analyses, and supporting materials for union rate negotiations.
  • Participate in union and labor rate discussions as directed by management.
  • Maintain current union agreements and ensure negotiated rates are accurately reflected in pricing and contract documents.
  • Coordinate and process annual union rate updates, escalations, and related contract adjustments.
  • Other tasks as needed.
