About The Position

The Contract Administration Assistant position will provide high-level support to the Contract Administration, include information management in databases, manage open records requests, communicate with internal and external customers, and attend and facilitate meetings. This role is also responsible for office management and completing special projects as assigned. The Contract Administration Assistant position will be fully in-person, five days a week.

Requirements

  • Current resident of the State of Wisconsin.
  • Current Wisconsin Driver's License and access to a reliable insured vehicle; both maintained throughout employment.
  • Possession of a High School Diploma or GED equivalent.
  • At least two (2) years of working in high quality administrative and clerical assistance role, preferably in a contract or legal setting.
  • Intermediate knowledge and the ability to work with different databases.
  • Intermediate knowledge of Microsoft Office Software such as Outlook, Teams, Word, Excel, and PowerPoint.
  • Intermediate knowledge of Adobe Pro.
  • Excellent customer service skills.

Nice To Haves

  • Training in administrative work or as an executive assistant.
  • Familiarity with contracting or provider network environment.
  • Familiarity with social services or behavioral health.
  • Ability to work in an environment with quickly changing demands.

Responsibilities

  • Organize, manage, and track contract and provider information/data into the Department of Health and Human Services (DHHS) databases.
  • Enter data, track, and ensure compliance including but not limited to audit, insurance certificate, CBC's etc.
  • Generate reports as required.
  • Receive, acknowledge, log, complete, and redact DHHS open records requests using County approved software application and platform.
  • Receive, manage, acknowledge, route, and respond to internal/external emails, including shared mailboxes as well as phone calls.
  • Send out provider communication as requested by DHHS management.
  • Provide support and assistance to consumers, customers, and other stakeholders.
  • Develop and manage Contract Management office processes as well as suggest process improvements.
  • Perform office duties such as copying, filing, creating binders, monitoring inventories, and ordering supplies and small office equipment.
  • Manage incoming and outgoing mail.
  • Attend meetings, create agendas, take minutes and attendance.
  • Distribute and file minutes.
  • Assist Contract Management staff in preparing for presentations.
  • Handle any special projects and/or assignments.
  • Perform all other duties as assigned.
