About The Position

SUMMARY: Under the direction of the Program Administrator- Intake and Assessment Program performs a wide variety of activities designed to support and expedite the intake or the diagnostic and assessment function of the agency. Responsible for transferring cases into or out of the regional center and is responsible for all inquiries related to these cases. Responsible for secretarial and clerical services as needed and as it related to mastering case review of active, provisional, ineligible and court mandated requirements. ESSENTIAL DUTIES AND RESPONSIBILITIES: Perform daily activities designed to support and expedite the transferring of consumers into or out of the regional center on a timely basis. Ensures that all transfer cases are electronically uploaded/downloaded utilizing a statewide program “Laserfiche”. Reviews new cases with the clinical team if the transfer presents a concern regarding eligibility or when the case received is ineligible and a new discovery is introduced. Organizes the Intake and Assessment scheduling protocol keeping the family and consumer updated on the status of their case when a recommendation for further review/clinical assessment is required Conduct team reviews for transfer-in/out cases with physician, psychologist and the Program Manager of the Intake and Assessment Program if appropriate. Carefully note fiscal information on all transfer-in/out cases including POS closures. Compose routine correspondence following general instructions or guidelines, including Team NOA’s, logs and ticklers. Track transfer-in cases and/or transfer-out cases, coordinating transfer dates with other regional centers and handling all calls related to these cases. Attend to administrative details in handling these cases. Review all documents to make sure the cases are complete before cases are transferred in/out. Prepare and complete all IRCTs (Inter Regional Center Transmittal) transferring files to ensure all details are captured to correctly identify the consumers’ eligibility status for record keeping sending copy to Case Control for DDS statistical reporting. Ensure all activity such as phone calls, record reviews, NOA’s, incidents, etcetera are captured in title 19 consumer log. Conduct quality assurance and tracking of all cases. Keeps detailed logs for follow-up and audit. May process and send NOA’s. Perform daily activities designed to support and expedite the intake activities of the agency, including the case coordination of a transfer in applicant who was previously determined ineligible and or did not complete the intake process at the prior Regional Center. Communicate effectively with the families and consumers utilizing the agency's intake services and the Transfer in/out process and keep guidelines updated if needed. Act as backup and fill in for the Consumer Intake Coordinators in their absence. Complete all Intake administrative backup duties and other duties as assigned. Work effectively with Consumer Services Coordinators whose consumers are utilizing the agency’s diagnostic and assessment services. Assure consumer records are available for consultants. Work cooperatively and effectively with others. Perform as a member of a team, answering questions, sharing expertise and generally contributing to the harmony of the team. Perform activities daily to facilitate transfer, appointment scheduling and choreographing of forensic and appeals cases. Assist in the collection of information, prepare reports and perform surveys related to transfer cases, forensic cases, and appeal cases, including statistics if requested. Seek to maintain currency and to expand knowledge base. Attend training sessions as required. Work with and modify the agency’s intake scheduling system to maximize its efficiency and accommodate necessary changes. Assure that consumers’ rights and dignity are maintained in the provision of services. Use office equipment appropriately and keep it in good repair. Keep work area neat and orderly. Observe all safety rules. Maintain good attendance and punctuality. Keep manager informed of pending work, work in progress and problems encountered. Utilize agency’s IT systems as assigned, maintaining security and following agency’s protocol and procedures, rules, and requirements. Comply with and ensure program compliance with agency’s Personnel Policies and Procedures. Perform different or additional work as assigned.

Requirements

  • Bachelor Degree in Social Work or related field from an accredited school.
  • In lieu of Bachelor Degree, may have High School Diploma with 5 years of experience as an Inland Regional Center employee, in which time has demonstrated the ability to assume increasingly responsible duties.
  • Ability to handle change well and be flexible and adaptable in dealing with interruptions, new priorities, and new assignments.
  • Ability to follow oral and written direction.
  • Ability to establish and maintain effective working relationships with others.
  • Good verbal and written communication skills.
