The Project Administrator role at Advanced Roofing & Sheet Metal involves providing essential administrative support to production teams in a dynamic construction environment. The position requires strong communication skills, attention to detail, and the ability to manage multiple tasks effectively. The ideal candidate will have experience in administration, billing, or accounting, preferably within the construction industry, and will play a key role in ensuring smooth project execution and client satisfaction.

  • Provide professional customer service to insurance-based and HOA clients
  • Initiate new construction jobs using software systems like EasyBuild and Dash for the Estimating and Production teams
  • Ensure the accurate upload of approved construction contracts into our system
  • Provide regular job progress updates to customers
  • Build and maintain strong relationships with existing and prospective subcontractors/trades
  • Solicit pricing from trades for production team evaluation
  • Conduct on-site meetings with trades to review scope and pricing
  • Validate and verify trade prices and quotes
  • Assist supervisors/project managers as needed
  • Generate subcontracts/work orders for trades and subcontractors
  • Prepare and send invoices for completed projects
  • Secure new trades and distribute subcontractor packets
  • Assist in organizing team events
  • Maintain client portals and manage phone/email inquiries
  • Resolve job disputes and handle complaints
  • Schedule appointments as necessary
  • Learn and utilize insurance software such as Dash and EasyBuild
  • Communicate effectively with stakeholders via professional emails
  • Use Microsoft programs (Word, Excel, Outlook) proficiently
  • Minimum 1-3 years of administrative experience
  • Ability to sit for long periods in front of a computer
  • Demonstrated drive, energy, and motivation with innovative thinking
  • Strong focus on accuracy and attention to detail
  • Proficient in Microsoft Word, Excel, Outlook, and other computer programs
  • Strong time management skills and commitment to meeting deadlines
  • Excellent organizational skills, including planning and delegation
  • Ability to thrive in a fast-paced, independent environment
  • Exceptional communication, customer service, and relationship-building skills
