About The Position

The Project Accountant supports the full lifecycle financial management of energy savings performance (ESCO) projects, partnering with Project Managers and Regional teams to ensure accurate contract administration, job cost tracking, billing, and compliance. This role prepares and administers owner and subcontract agreements, purchase orders, and change orders within Viewpoint Vista; reviews and approves AIA billings, subcontractor pay applications, and accounts payable invoices; processes client billings based on schedules of values; maintains accounts receivable; and supports monthly WIP reporting through detailed cost projections and forecasting. The Project Accountant also oversees subcontractor compliance documentation—including Certificates of Insurance, W-9s, certified payroll, prevailing wage verification, tax forms, and performance and payment bonds—ensuring adherence to contractual, state, and company requirements while maintaining organized project records and supporting project teams from kickoff through closeout and final cost reconciliation.

Requirements

  • Knowledge of basic office procedures and processes.
  • Knowledge of the principles of file and records management.
  • Knowledge of the basic principles of bookkeeping and/or accounting.
  • Ability to simultaneously manage multiple projects with overlapping deadlines, deliverables and other requirements.
  • Ability to establish and maintain effective working relations with co-workers, vendors, customers, the general public and others having business with Veregy.
  • Ability to operate a personal computer utilizing a variety of standard office and/or specialized/customized software applications.
  • Bachelor’s degree (B.A.) from four-year college or university; or 5 + years' of project assistance, project coordination, administrative assistance or closely related experience in a Construction, HVAC or related field.
  • Valid driver’s license required.

Responsibilities

  • Manage subcontractor compliance documentation including Certificates of Insurance, W-9s, certified payroll, wage rate verification, tax-exempt forms, and Performance & Payment Bonds to ensure adherence to contract terms and state requirements.
  • Prepare, review, and administer owner and subcontract agreements, service and consultant contracts, purchase orders, and change orders; maintain accurate documentation and tracking within Viewpoint Vista.
  • Review and approve AIA billings and accounts payable invoices; manage subcontract payables, job cost allocations, and payment releases in accordance with contractual terms.
  • Process client billings based on project schedules of values and cost projections; maintain accounts receivable and support monthly WIP reporting through updated job cost forecasts.
  • Monitor and analyze job cost postings to ensure accurate allocation to purchase orders, subcontracts, and project cost codes; prepare detailed job cost reports in coordination with project and regional teams.
  • Support project lifecycle activities including kick-off meetings, estimate reviews, compliance monitoring, change order management, and project closeout for final cost and warranty documentation.
  • Maintain strong working relationships with Regional Managers, Project Managers, clients, subcontractors, and vendors while ensuring compliance with company policies and project-specific contractual requirements.
