Requirements

  • Three (3) to five (5) years of administrative or clerical experience preferred
  • Prior experience in a construction, mechanical, or contracting office environment strongly preferred
  • High school diploma or equivalent required
  • Strong organizational skills with the ability to manage multiple documents and priorities at once
  • Excellent attention to detail and accuracy
  • Clear and professional written and verbal communication skills
  • Ability to identify errors or inconsistencies and assist with resolving administrative issues
  • Proficiency or willingness to learn standard office software and document management systems
  • Professional composure and reliability when working under deadlines
  • Team-oriented mindset with a willingness to support project managers and leadership

Nice To Haves

  • Prior experience in a construction, mechanical, or contracting office environment strongly preferred

Responsibilities

  • Receive, organize, file, and retrieve construction and project-related documentation, including contracts, forms, correspondence, and project records
  • Maintain accurate and up-to-date project files by processing documentation and updating logs, reports, and administrative records
  • Review project documentation for accuracy, completeness, and consistency, identifying discrepancies and assisting with corrections as needed
  • Establish and maintain organized electronic and physical filing systems for construction and project documentation
  • Compile routine reports and summaries to support project tracking and recordkeeping
  • Prepare and format correspondence, reports, and project-related documents
  • Provide general administrative and clerical support to project managers and construction leadership
  • Assist with scheduling calendars, meetings, training sessions, and travel arrangements when needed
  • Support project-related financial and account records, including basic accounts payable, accounts receivable, and cost tracking, as assigned
  • Assist other departments by providing project documentation, information, and procedural support
  • Perform additional administrative duties as needed to support construction and project operations
