About The Position

The Oregon Department of Justice Division of Child Support is seeking an organized, detail-oriented, and service-minded support professional with an eye for detail and a desire to positively impact others. The Constituent Services Support Specialist (Office Specialist 2) performs a variety of tasks to support our Constituent Liaisons, program managers and staff, and parents. The successful candidate will thrive in an environment of working both independently and as part of a team, balancing an assortment of projects and duties. Requirements

  • Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents; OR
  • An Associate’s degree; OR
  • An equivalent combination of education and experience.

Responsibilities

  • Serve as primary point of phone contact for the Constituent Services team.
  • Screen phone calls for appropriate routing and answering general information questions.
  • Access and narrate computerized child support files.
  • Monitor Constituent Services email inbox and route work appropriately.
  • Track emails, grievances, complaints, public records request, and other work as needed.
  • Gather and assemble information for discussion and review at team meetings.
  • Initiate billing, then track, receive, and process payment for public records request.
  • Prepare data custodian list, file preparation, documentation, and tracking for litigation holds.
  • Update and maintain team information, files, procedures, and manuals.
  • Schedule appointments, prepare agendas and other meeting materials, and take and distribute minutes.
  • Create and maintain filing systems, including calendars.
  • Perform data entry for program needs (e.g., reports, memos, letters, emails, etc.).
  • Process, compile data for, and create various reports.
  • Receive and process daily incoming mail and provide reception coverage.
  • Other duties as assigned.
