About The Position

The Conservatory Operations Manager provides administrative support, primarily logistical, scheduling, and financial-operation based, to all conservatory programs, to bring quality training opportunities and life-long learning through theater-based classes. The position collaborates with multiple outside departments; primarily finance, production, facilities, and human resources; to ensure all conservatory programs have adequate resources to run. They collaborate with program directors to fulfil their visions’ needs, managing expectations with available resources. Primarily management, organization, and task oriented.

Requirements

  • Moderate experience working with Microsoft Suite (Outlook, Word, Power Point).

  • Moderate to advance experience working in an office administrative experience.
  • Moderate experience supervising staff.

Nice To Haves

  • Experience with the following software and administrative tools; Docusign, WhenIWork (Payroll), Sage (Finance Management), ADP (HR), and Tessitura (CRM), are a plus.

Responsibilities

  • In coordination with finance department and program directors, manage all financial procedures within the conservatory department, including budget creation, management and forecasting, as well as day to day operations in accounts payable, receivable and credit card reconciliations.
  • Manage the scheduling and maintenance of all conservatory studios in collaboration with facilities, rentals, and production departments.
  • Maintain department programming calendar in collaboration with program directors to fulfill faculty, students, and curriculum scheduling needs.
  • Managing faculty and guest artists contracting, onboarding, and payments with HR department.
  • In collaboration with Director of the Conservatory, create and maintain standard operating procedures for department operations.
  • With department support staff; planning, managing, and execution of special department events and programs, including Kick-off, Showcase Class, and alumni events.
  • Collaborate with the Director of the Conservatory to set operation policies for conservatory employees and students.
  • Specifically leads scheduling, operations, and communications between faculty and administrative staff for Conservatory’s Intensive Acting Programs.
  • In Collaboration with the Director of the Conservatory, envisioning, managing, and executing alumni relationship communication, opportunities, and events.
  • Advocate interdepartmentally for conservatory program needs.
  • Supervise junior staff positions to assist with program coordination and execution.
