About The Position

EKU Conferencing & Events which is located within the Division of Student Success, Engagement, and Opportunity provides graduate students with an assistantship appointment that encompasses professional service, research, and leadership in the field of conference and event planning. The Graduate Assistantship provides opportunities for in-depth learning of collegiate conference and event planning and programming to meet the needs of campus faculty, staff, and students as well as external constituents. The GA will communicate and engage with academic colleges, departments, administrative or service areas, and external constituents daily, to centralize and streamline the logistics of simple or multi-dimensional conferences and events. The GA will function as a planner and programmer while communicating and collaborating with internal units on campus, external constituents, and internal areas who partner with external companies and organizations in hosting a conference or event on campus.

Requirements

  • Unconditional acceptance into a graduate degree program at Eastern Kentucky University.
  • Enroll in at least nine (9) credit hours per semester in a graduate degree program.
  • Maintain a 3.0 GPA in coursework leading toward the completion of graduate degree.
  • Possess excellent written and verbal communication skills.
  • Possess excellent computer skills (e.g., MS Word, Excel, and PowerPoint).
  • Skills in multi-tasking and the availability to work evenings and weekends as needed.
  • Possess excellent administrative skills.

Responsibilities

  • Provide effective and efficient management, assessment and facilitation of conferences and events at Eastern Kentucky University.
  • Assist staff in event management support, including but not limited to site selection, facility reservations, contract negotiations, marketing, and on-site coordination.
  • Conduct system administration for the University's scheduling and space management software system (R25) to implement space utilization and monitor the master schedule to ensure compliance with EKU's Policy on Scheduling of University Facilities and Outdoor Space.
  • Attend meetings with clients and planning committees both internal and external to the University.
  • Arrange the availability of audio/visual technology and technical support and wireless Internet access according to event requirements.
