About The Position

The Conferences & Events Specialist is responsible for the planning, execution, and post-event analysis of internal and external events for ProShares. This individual ensures flawless delivery of conferences, roadshows, client events, and internal meetings that reflect the brand’s identity and business objectives. The role demands cross-functional collaboration, strong vendor management, and attention to detail to deliver best-in-class experiences for clients and stakeholders.

Requirements

  • Bachelor’s degree in Marketing, Communications, Business, or related field.
  • 3-5 years of experience in event or conference planning, ideally in financial services.
  • Demonstrated success in managing full-cycle events from ideation through execution.
  • Tech-savvy, leveraging AI and productivity tools to streamline problem-solving and boost efficiency.
  • Strong organizational, time management, and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Proactive mindset with the ability to problem-solve under pressure.
  • Business acumen, professionalism, and attention to brand presentation.
  • Ability to travel occasionally for event execution.

Responsibilities

  • Collaborate with Sales, Marketing, and company leadership to identify high-impact events and conference opportunities aligned with business goals.
  • Lead planning and logistics for complex multi-day conferences, industry events, roadshows, and internal meetings (e.g., product launches, sales summits).
  • Source venues, negotiate fees, and manage third-party vendor relationships (hotels, A/V, catering, entertainment, etc.).
  • Ensure all event branding, signage, and materials are professionally presented and aligned with corporate identity.
  • Implement best practices for pre-event, on-site, and post-event execution—including contingency planning and real-time troubleshooting.
  • Own end-to-end project management of events using tools such as Asana.
  • Maintain and manage event budgets, track invoices, and ensure cost efficiency without compromising quality.
  • Coordinate logistics for printed collateral, promotional items, and giveaways, including shipping to regional teams or event locations.
  • Oversee inventory of branded premium items and promotional materials; source new items that support brand recognition.
  • Work closely between Marketing, Sales, and fulfillment partners to promote events, define success metrics, and gather requirements.
  • Serve as SME (Subject Matter Expert) for internal and external event processes.
  • Coordinate and file submissions for CE-accredited presentations and event-related compliance requirements.
  • Maintain updated executive bios and speaker documentation for conference proposals.
