About The Position

The Executive Meetings Manager is responsible for receiving and executing all executive meetings turned over by group sales. This role involves managing, coordinating, and executing executive group assignments for all meetings/groups, ensuring that all contractual agreements related to guest room blocks, meeting space, food and beverage, AV, activities, and special concessions are monitored. The manager must effectively communicate with all hotel departments to meet the group's needs while maintaining strong client relationships.

Requirements

  • Minimum two years of Hotel or Resort Conference Services/Event planning experience preferred.
  • High School Diploma or equivalent credentials.
  • College degree preferred.
  • Organized and detail-oriented approach to managing group specifications.
  • Ability to manage multiple group requests and deadlines in a fast-paced environment.
  • Excellent communication skills, both written and verbal.
  • Proficient in Windows XP and Microsoft Office applications.
  • Knowledge of food and beverage, function set-ups, and audio visual.

Nice To Haves

  • Opera experience and Social Tables preferred.
  • Ability to courteously present information in one-on-one and group situations.

Responsibilities

  • Receive and detail executive meetings turned over by group sales.
  • Manage and execute executive group assignments.
  • Monitor contractual agreements for guest room blocks, meeting space, food and beverage, AV, and activities.
  • Communicate necessary information to hotel departments for successful execution.
  • Develop effective upselling plans for groups.
  • Assist the Group Sales team in closing opportunities based on market conditions.
  • Make clear business decisions and exhibit customer service recovery skills.
  • Understand market competitors' strengths and weaknesses.
  • Lead by example for all CCS/Event Design Coordinators.
  • Provide guidance and feedback to catering coordinators.
  • Prepare monthly forecasts with CCS & Event Design leaders.
  • Attend designated meetings including site visits and menu tastings.
  • Coordinate with chefs and event design for special requests.
  • Ensure accurate details on BEOs and Resumes.
  • Maximize revenues and control expenses through negotiation.
  • Monitor changes to BEOs and ensure timely communication.
  • Maintain organized files with required information.
  • Check room set-up prior to events.
  • Follow up on event feedback and billing questions.
  • Support Human Resources training efforts.
  • Record and bill orders accurately.
  • Maintain good relations with preferred vendors.
  • Achieve Meetingscope pre-and post-meeting planner scores over 85%.
  • Maintain knowledge of guest services and local attractions.
